The Workplace Co-Ordinator will report to and support the on – site workplace manager with a wide range of duties to include Workplace operations, financial planning, real estate project administration, and space planning. Workplace Coordinator Roles and Responsibilities Customer Service:
Positive “can do” attitude, exceptional customer service skills and troubleshooting skills. Be flexible, reliable, outgoing, and professional. Be a self- starter and a driver, direction maker and problem solver. Seek out tasks to not just maintain but improve on the overall impression your buildings make to anyone walking through. Reach out to other team members to help tackle larger tasks in their buildings. Scope of Daily Responsibilities: Maintain overall appearance of building, work areas and other common areas. Daily Floor walks – Maintain neat, organized office supplies and copy stations. Keep ongoing comprehensive maintenance logs noting areas of concern that need attention and contact vendor rep or property manager to get it done. Log and report any issues with lighting, carpets, paint, plants, etc. Kitchens: Snack program set ups, Coffee supplies and service - report problems to on-site Canteen reps via email or text. Includes monitoring appliances for problems such as temperature and leaks. Workplace Operation: Service Hub Tickets: First triage to other coordinator’s buildings, own and monitor/manage your tickets including updates for service requests and reported issues, such as HVAC, janitorial, maintenance & repairs for your buildings. Requests for supplies or furniture. Property Management: You will act as the liaison with property management on all building/site issues. Create and monitor all tickets until closed providing updates as needed to employee with time line needed to complete. Weekly New Hire set ups: Signage, welcome set ups, wipe down the space, chair, pedestal file including key. Report any seating changes or violations to Space Squad. Slack Channel for building communications with employees to include: Property Manager announcements, workplace activities, safety announcements and office wide events. Vendor Relations: Contact vendors for services/goods or repairs needed including: quotes, invoices, and purchase orders. Schedule service or delivery, responsible for monthly accruals spreadsheet to accounts payable. Skills you will need: Proficient in MSOffice – Outlook, MS Word, MS Excel and MS PowerPoint. Competence in Google Docs, Google Sheets and Google Drive structures, PlanGrid a plus. Exceptional communication skills (verbal and written) with the ability to work well with all levels in an organization. Attention to detail and accuracy. Ability to manage time, work independently and see projects through completion. Ability to take on new tasks and learn new technology quickly.
