Role Overview:

We are a lean, high-performance family office. We are looking for a highly dependable individual to take complete ownership of office administration, basic HR operations, support staff management, and workplace discipline.

This role acts as the operational backbone of the office, ensuring everything runs smoothly, efficiently, and with high standards of professionalism.

Key Responsibilities:

1. Office Administration & Operations

Oversee day-to-day functioning of the office

Maintain a clean, organized, and professional work setting

Manage procurement of office supplies, consumables, and basic infrastructure

Negotiate with vendors and ensure cost-effective purchasing

Maintain relationships with all routine service providers

2. Support Staff & Contractor Management

Supervise 2–3 support staff (peons) on a daily basis

Ensure discipline, punctuality, and proper task execution

Coordinate with contractor/vendor for staffing issues, replacements, and escalations

Monitor service quality and ensure no operational gaps

3. Inventory & Facilities Management

Maintain inventory of:

Pantry items (water, juices, basic consumables)

Stationery and office supplies

Ensure timely replenishment and prevent wastage/leakage

Oversee basic facility upkeep and coordinate maintenance when required

4. HR Operations & Payroll

Maintain attendance and leave records for all employees

Manage employee documentation and records

Handle onboarding (induction, documentation,



workstation readiness)

Manage exit formalities (clearances, documentation, handovers)

Process and coordinate salary payouts, including:

Salary tracking

Coordination with accounts for disbursement

Ensuring accuracy and timeliness

5. Culture, Discipline & Governance

Ensure a high level of workplace discipline and decorum

Act as the first line of control against any misuse, irregularities, or misconduct

Maintain a “no-nonsense, no monkey business” environment

Proactively flag issues to leadership with clear context and solutions

6. Coordination & Leadership Support

Assist with basic scheduling and coordination where required

Act as the central point for all administrative and operational matters

Ensure smooth internal coordination without friction

Ideal Candidate Profile:

- 5–12 years of experience in office administration / HR operations
- Experience managing support staff and external vendors/contractors
- Prior experience in family office / startup / small professional setup preferred
- Strong sense of ownership and authority without being overbearing
- High integrity, discretion, and reliability (non-negotiable)
- Good negotiation and cost-control mindset
- Highly organized, detail-oriented, and proactive
