Role Overview
n
We are a lean, high-performance family office. We are looking for a highly dependable individual to take complete ownership of office administration, basic HR operations, support staff management, and workplace discipline.
n
This role acts as the operational backbone of the office, ensuring everything runs smoothly, efficiently, and with high standards of professionalism.
n
Key Responsibilities
n
- Office Administration & Operations
n
Oversee day-to-day functioning of the office
n
Maintain a clean, organized, and professional work environment
n
Manage procurement of office supplies, consumables, and basic infrastructure
n
Negotiate with vendors and ensure cost-effective purchasing
n
Maintain relationships with all routine service providers
n
- Support Staff & Contractor Management
n
Supervise 2–3 support staff (peons) on a daily basis
n
Ensure discipline, punctuality, and proper task execution
n
Coordinate with contractor/vendor for staffing issues, replacements, and escalations
n
Monitor service quality and ensure no operational gaps
n
- Inventory & Facilities Management
n
Maintain inventory of
n
Pantry items (water, juices, basic consumables)
n
Stationery and office supplies
n
Ensure timely replenishment and prevent wastage/leakage
n
Oversee basic facility upkeep and coordinate maintenance when required
n
- HR Operations & Payroll
n
Maintain attendance and leave records for all employees
n
Manage employee documentation and records
n
Handle onboarding (induction, documentation,
workstation readiness)
n
Manage exit formalities (clearances, documentation, handovers)
n
Process and coordinate salary payouts, including:
n
Salary tracking
n
Coordination with accounts for disbursement
n
Ensuring accuracy and timeliness
n
- Culture, Discipline & Governance
n
Ensure a high level of workplace discipline and decorum
n
Act as the first line of control against any misuse, irregularities, or misconduct
n
Maintain a “no-nonsense, no monkey business” environment
n
Proactively flag issues to leadership with clear context and solutions
n
- Coordination & Leadership Support
n
Assist with basic scheduling and coordination where required
n
Act as the central point for all administrative and operational matters
n
Ensure smooth internal coordination without friction
n
Ideal Candidate Profile
n
5–12 years of experience in office administration / HR operations
n
Experience managing support staff and external vendors/contractors
n
Prior experience in family office / startup / small professional setup preferred
n
Strong sense of ownership and authority without being overbearing
n
High integrity, discretion, and reliability (non-negotiable)
n
Positive negotiation and cost-control mindset
n
Highly organized, detail-oriented, and proactive
n
