Role & responsibilities
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and strategic support to our leadership team. You will act as the primary point of contact for internal and external constituencies and manage complex schedules to ensure the smooth operation of the executive office.
Key Responsibilities
Calendar & Schedule Management
Manage and coordinate complex calendars, prioritizing sensitive matters and resolving scheduling conflicts.
Organize internal and external meetings, including room bookings, catering, and technical setup.
Communication & Correspondence
Act as a "gatekeeper," screening phone calls, emails, and visitors.
Draft, format, and proofread high-level correspondence, reports, and presentations.
Liaise with department heads and external partners on behalf of the Executive.
Travel & Logistics
Coordinate comprehensive domestic and international travel itineraries, including flights, accommodation, and visas.
Prepare detailed travel expense reports and ensure timely reimbursement.
Strategic Support & Administration
Attend key meetings to take minutes and track actionable items to completion.
Conduct research and prepare briefing documents for upcoming meetings or projects.
Maintain a digital and physical filing system for confidential documents.
Required Qualifications & Skills
Experience: 36 years of experience as an EA or PA to C-suite/Senior Management.
Education: Bachelor’s degree in any field.
Technical Proficiency: Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
Communication: Exceptional verbal and written English communication skills.
Soft Skills: Solid multitasking abilities, attention to detail, and the ability to maintain a high level of confidentiality.
