Summary: The Junior Office Admin will be responsible for managing day-to-day office operations, vendor coordination, facility management, and administrative support at Oaklane's Pune office. The role requires strong organizational skills, reliability, and process discipline, ensuring a smooth and professional workplace environment aligned with Oaklane's standards. 1.

Key Responsibilities A.

n

Office

n

Operations - Manage daily office operations and ensure smooth functioning

n

- Maintain office supplies, inventory, and vendor coordination
- Oversee housekeeping, maintenance, and facility management B. Vendor & Facility Management - Coordinate with vendors for services (IT, housekeeping, pantry, etc.)
- Track vendor contracts, invoices, and payments
- Ensure service quality and adherence to SLAs C.

Administrative

n

Support - Assist leadership and teams with administrative requirements

n

- Manage meeting room bookings and office logistics
- Support travel bookings, accommodation, and event arrangements D. Documentation & Record Keeping - Maintain records of invoices, contracts, and admin documentation
- Support compliance-related documentation for office operations E. Event & Office Coordination - Assist in organizing internal events, offsites, and team activities




- Ensure office readiness for client visits and meetings 2.

Required Skills & Competencies Technical Skills - Strong administrative and coordination skills

- Basic knowledge of vendor management and office operations
- Proficiency in Excel, email communication, and documentation Behavioural Competencies - High reliability and ownership

Experience & Qualifications Education - Graduate in any discipline Experience - 3-5 years in office administration / facilities / operations

- Experience in corporate office environment preferred 4.
