About the Role :
The Documentation Specialist plays a key role in supporting the College’s administrative and compliance functions by ensuring accurate preparation, processing, and management of student documentation. This position is responsible for handling a high volume of records while maintaining strict attention to detail and confidentiality. The role also involves coordinating with admissions, academic, and placement teams, as well as supporting students through the registration process. The ideal candidate is organized, detail-oriented, and capable of working efficiently in a quick-paced, deadline-driven environment with a strong focus on accuracy and service excellence.
It is a full-time, permanent & fully remote (online) position based in India, with working hours from 9:30 AM to 6:00 PM EST (7:00 PM to 3:30 AM IST).
Key Responsibilities :
- Maintain accuracy, consistency, and completeness of all student-related documentation
- Ensure all documents are prepared and processed in compliance with institutional policies and regulatory requirements
- Manage and organize digital files, records, and databases in a structured manner
- Communicate professionally with students and internal teams regarding documentation requirements and updates
- Follow up with students to obtain pending documents within required timelines
- Perform regular quality checks to verify accuracy and prevent errors in official documents
- Handle confidential student information with a high level of discretion and integrity
- Support audits and internal reviews by maintaining proper documentation records
- Utilize AI-powered tools to assist in document creation, data entry, formatting, and validation to improve accuracy and efficiency
- Assist in improving documentation processes for efficiency and accuracy
- Collaborate with admissions, academic, and placement teams to ensure smooth workflow
Required Skills & Qualifications:
- Bachelor’s degree in a relevant field (Business, Administration, or Information Management preferred)
- Minimum 5 + years of relevant work experience is required
- Strong Proficiency in Adobe Acrobat / Adobe Reader for document preparation and editing
- Strong Proficiency in using Microsoft Office Suite (Word, Excel, Outlook)
- Experience with CRM systems (Zoho or similar platforms)
- Proficiency in using Zoom and other virtual communication tools
- Familiarity with AI-powered tools (e.g., document automation, data validation, and productivity tools) to enhance accuracy and efficiency
- Excellent attention to detail with strong organizational skills
- Ability to handle confidential information with integrity
- Strong communication and coordination skills
- Ability to handle pressure and work efficiently in a fast-paced, deadline-driven environment
- Must have reliable Laptop and Wi-Fi
