About the Role
My Virtual Mate is urgently seeking a highly organized, proactive, and people-focused *Client Relationship & Project Manager* who can successfully balance two critical priorities:
1. Building and maintaining solid client relationships
2. Efficiently managing projects and external staff from initiation to completion
The ideal candidate is an exceptional communicator, strategic problem-solver, and detail-oriented leader who thrives in a fast-paced virtual environment. You will serve as the bridge between clients, internal teams, and external staff, ensuring smooth operations, client satisfaction, team accountability, and successful project delivery.
This role requires someone who is highly proactive, operationally sharp, and comfortable managing both people and processes across multiple moving parts.
Key Responsibilities
Client Success & Relationship Management
Serve as the primary point of contact for clients, ensuring a seamless experience from onboarding through project completion.
Build and maintain strong long-term client relationships through proactive communication and support.
Understand client goals, expectations, and business needs to deliver tailored solutions.
Provide regular project updates, progress reports, and status communications to clients.
Resolve client concerns, complaints, and escalations with professionalism and urgency.
Collect and act on client feedback to improve overall satisfaction and retention.
Foster trust and confidence by consistently delivering high-quality service and support.
Project Management
Define project scope, timelines, deliverables, milestones, and resource requirements in collaboration with stakeholders.
Develop detailed project plans and oversee all phases of project execution.
Ensure projects are completed on time, within scope, and aligned with company standards.
Monitor project progress, identify risks early, and implement mitigation strategies proactively.
Coordinate internal teams and external resources to ensure workflow efficiency.
Track deliverables, deadlines, and dependencies across multiple active projects.
Conduct project reviews and ensure proper documentation throughout project lifecycles.
External Staff Management & Candidate Support
Oversee and support external staff, freelancers, virtual assistants, and remote team members throughout their engagement lifecycle.
Monitor and review End-of-Day (EOD) reports to ensure accountability, productivity, and alignment with project objectives.
Review timesheets, activity logs, and screencasts to monitor performance, task progress, and adherence to expectations.
Conduct regular follow-ups with external staff regarding tasks, deliverables, attendance, and performance concerns.
Assist in managing and facilitating the company’s six-week handholding/onboarding program for new hires and external staff.
Provide proactive support to team members by addressing complaints, concerns, blockers, and operational challenges promptly.
Ensure external staff remain engaged, responsive, productive, and aligned with company culture and client expectations.
Maintain accurate documentation of staff performance, attendance, communication, and engagement.
Escalate operational or performance concerns to leadership when necessary.
Team & Resource Coordination
Coordinate cross-functional teams and assign responsibilities based on skills, capacity, and project priorities.
Ensure all team members clearly understand project goals, timelines, and expectations.
Monitor workloads and optimize resource allocation to maximize productivity and efficiency.
Facilitate collaboration between departments, clients, and remote staff.
Support operational efficiency through structured communication and follow-up processes.
Stakeholder Engagement
Build strong relationships with clients, vendors, partners, and internal stakeholders.
Align client expectations with project goals and operational capabilities.
Host regular check-ins, project reviews, onboarding sessions, and status meetings.
Manage escalations, conflicts, and sensitive situations with professionalism and diplomacy.
Ensure clear communication between all parties involved in project execution and workforce management.
Quality Assurance & Performance Monitoring
Ensure all project deliverables meet internal quality standards and client expectations.
Conduct routine quality checks throughout project execution to avoid last-minute issues.
Monitor staff responsiveness, output quality, and overall performance consistency.
Identify opportunities to improve workflows, communication, and operational processes.
Support continuous improvement initiatives to enhance both client satisfaction and team productivity.
Qualifications & Skills
Required Qualifications
Bachelor’s degree in Project Management, Business Administration, Communications, or a related field.
Minimum of 3+ years of experience in:
* Project Management
* Client Relationship Management
* Client Success or Account Management
* Remote Team Coordination or Operations Management
Experience managing remote teams, freelancers, or virtual staff is highly preferred.
Preferred Qualifications
PMP Certification or equivalent project management certification is an advantage.
Experience working in remote-first or virtual agency environments.
Familiarity with onboarding, workforce management, and staff performance monitoring.
