Role Description:
This role is responsible for supporting and managing payroll systems and related applications for India payroll operations. The role involves system configuration support, payroll application maintenance, troubleshooting payroll processing issues, validation of system outputs, coordination with payroll operations, HRIS, Finance, IT, and external vendors, and ensuring smooth payroll system functioning in compliance with statutory and organizational requirements. The role also supports payroll transformation initiatives, system enhancements, automation projects, UAT testing, process improvements, and reporting requirements.
Key Responsibilities:
- Support and maintain payroll systems/applications to ensure smooth and accurate payroll processing.
- Coordinate with payroll operations teams for issue resolution related to payroll inputs, outputs, validations, integrations, and processing errors.
- Perform payroll system validations, reconciliation checks, and output report reviews to ensure data accuracy and process compliance.
- Manage payroll master data changes, configuration support, workflow monitoring, and user access controls.
- Liaise with HRIS, IT, Finance, Compliance, and external vendors for payroll system enhancements, integrations, and issue resolutions.
- Support statutory compliance requirements related to PF, ESIC, PT, LWF, Income Tax, Minimum Wages, and other payroll-related compliances from a system and reporting perspective.
- Participate in payroll transformation initiatives, automation projects,
process optimization, and digitization activities.
- Conduct User Acceptance Testing (UAT), parallel runs, regression testing, and validation for system upgrades, patches, and new implementations.
- Prepare and maintain SOPs, process documents, validation trackers, checklists, and system-related documentation.
- Analyze payroll system issues, identify root causes, and recommend sustainable corrective and preventive actions.
- Generate and validate payroll MIS, audit reports, reconciliation reports, statutory reports, and management dashboards.
- Ensure payroll systems and records comply with internal controls, audit requirements, data privacy, and information security standards.
- Support month-end and year-end payroll activities including reconciliations, Form 16 generation, tax reporting, and audit support.
- Provide support for new business transitions, new entity setup, location onboarding, and payroll system migration activities.
- Coordinate with stakeholders and provide timely resolution to payroll system-related queries and escalations.
- Ensures accurate and timely processing of payroll updates including new hires, terminations,
salary revision & Minimum Wages revisions and flexi benefits plan.
Qualifications:
- Bachelors degree or Diploma in HR, Finance, IT, Accounting, or related discipline.
- Minimum 68 years of experience in Payroll Operations, Payroll System Support, HRIS, or Payroll Transformation roles.
- Experience working on payroll applications/ERP systems such as SAP, Ramco, Workday, Oracle, SuccessFactors, or similar platforms preferred.
- Certification/Diploma in Payroll, HRIS, Compliance, or Labour Laws would be an added advantage.
Required Skills/Abilities:
- Robust understanding of India payroll processing and statutory compliance requirements.
- Experience in payroll system support, payroll interfaces, data validation, and troubleshooting.
- Knowledge of payroll workflows, payroll controls, reconciliation processes, and payroll reporting.
- Solid analytical and problem-solving capabilities with attention to detail.
- Proficiency in Microsoft Excel, PowerPoint, Word, and reporting tools.
- Experience in handling payroll system UAT, implementation support, and process automation initiatives.
- Ability to manage multiple stakeholders and coordinate across functions.
- Good understanding of HRMS/payroll integrations and data flow mechanisms.
- Excellent communication and stakeholder management skills.
- Ability to work independently in a high-volume and fast-paced payroll setting.
- Experience supporting large employee populations and multi-location payroll operations would be preferred.
