Role & responsibilities
- Coordinate daily logistics activities from the Ambernath factory.
- Handle export dispatches and import shipments.
- Coordinate with freight forwarders, CHA agents, transporters, courier companies, shipping lines, and customs agents.
- Follow up for customs clearance of import and export consignments.
- Prepare, check, and maintain export documentation.
- Prepare, check, and maintain import documentation.
- Coordinate documentation required for banks, customs, freight forwarders, CHA agents, and other relevant authorities.
- Prepare and process documents such as commercial invoices, packing lists, shipping bills, airway bills, bills of lading, certificates of origin, insurance documents, transport documents, and other shipment-related papers.
- Coordinate submission of export and import documents to the bank.
- Follow up with banks for document acceptance, queries, corrections, and closure.
- Track shipments and provide regular updates to management.
- Coordinate with internal departments including sales, production, stores, accounts, QA/regulatory, and dispatch teams.
- Ensure timely dispatch of domestic and export orders.
- Maintain proper records of shipments, dispatches, documentation, courier details, and communication with external agencies.
- Ensure that all documentation is complete, accurate, and properly filed.
- Assist in resolving documentation discrepancies, shipment delays, customs queries, and logistics-related issues.
- Support domestic dispatches and local transport coordination where required.
- Maintain regular communication with vendors and service providers for shipment status and documentation requirements.
Preferred candidate profile
- Good knowledge of import-export documentation.
- Experience in freight forwarding, customs clearance coordination, CHA coordination, or logistics operations.
- Ability to coordinate effectively with banks, freight forwarders, customs agents, transporters, and internal departments.
- Strong documentation and record-keeping skills.
- Good follow-up ability and attention to detail.
- Proficiency in MS Office, especially Excel, Word, and email communication.
- Ability to prepare and check commercial documents accurately.
- Valuable written and verbal communication skills.
- Ability to work from the factory location in Ambernath, Thane.
- Responsible, systematic, and capable of handling time-sensitive shipments.
- Prior experience in export/import documentation for manufactured products will be preferred.
