ROLE PURPOSE
This role exists to give the COO enterprise-wide execution capacity the ability to move strategic priorities through a large, matrixed organisation at speed, without the priorities getting lost in translation. The incumbent is the mechanism by which the COO's decisions become tracked, governed, and delivered outcomes.
The mandate spans strategic PMO leadership, enterprise governance, financial and performance analysis, executive-grade communication, and AI-led productivity transformation. This is a high-visibility, high-accountability leadership development role direct exposure to enterprise decision-making, several years ahead of where this experience typically sits in a career.
Strategic PMO & Enterprise Execution
Govern enterprise-wide strategic initiatives end-to-end planning, cross-functional coordination, risk and escalation management, perks realisation. Own the transformation office's execution discipline from concept to delivered outcome.
COO Office Operations & Governance
Run the operational backbone of the COO's Office: leadership priority tracking, governance meeting cadence, business planning cycles, and executive communications with full confidentiality and discretion.
Financial & Commercial Analysis
Build business cases, financial models, and ROI analyses. Own performance dashboards, KPI tracking, forecasting, and variance analysis. Comfort reading and interpreting P&L; is mandatory, not preferred.
Executive Meeting & COO Preparation
Prepare agendas, briefing notes, decision logs, and action trackers for steering committees and leadership reviews. Arm the COO for every strategic interaction with briefs, stakeholder profiles, competitive intelligence, and clear decision options.
Presentations, Stakeholders & AI Transformation
Develop board- and investor-grade presentations combining data and narrative. Manage senior internal and external stakeholders.
Drive AI adoption across the COO's Office (ChatGPT, Claude, Copilot, Power BI) to compress research, analysis, and reporting cycle times.
DETAILED ROLES & RESPONSIBILITIES
A. Strategic PMO & Enterprise Execution
- Lead and govern enterprise-wide strategic initiatives from concept through execution.
- Own enterprise PMO governance, transformation office support, and business planning.
- Drive execution tracking, cross-functional coordination, and risk management.
- Manage benefits realisation, programme governance, and escalation management.
B. COO Office Management
- Act as the operational backbone of the COO's Office.
- Coordinate leadership priorities, strategic reviews, and governance meetings.
- Manage executive communications and cross-functional execution.
- Own business planning cycles end-to-end.
- Maintain complete confidentiality and professionalism at all times.
C. Financial & Commercial Analysis
- Prepare budget analyses, financial models, and business cases.
- Lead cost optimisation and ROI analysis for strategic initiatives.
- Own business performance dashboards and KPI tracking.
- Conduct forecasting, variance analysis, and productivity analysis.
- Maintain fluency in P&L; interpretation and core business metrics.
D. Executive Meeting Governance
- Coordinate and actively participate in leadership meetings, business reviews, steering committees, governance councils, strategy workshops, and operational reviews.
- Prepare agendas, executive briefing notes, and presentation packs.
- Own action trackers, minutes of meeting, and decision logs.
- Drive follow-up governance to closure on every open item.
E. COO Meeting Preparation
- Develop executive briefs, business summaries, and financial snapshots ahead of every strategic interaction.
- Build stakeholder profiles, industry insights, and competitive intelligence.
- Flag key risks, discussion points, and negotiation inputs in advance.
- Frame decision options with clear, recommended actions the COO should enter every meeting exceptionally prepared.
F. Executive Presentation Development
- Develop high-impact presentations for Board Reviews, QBRs, Strategy Sessions, Investor Discussions, Transformation Updates, and Budget Reviews.
- Combine executive storytelling, data-driven insight, visual excellence, and clear strategic recommendations.
- Maintain advanced, mandatory-level PowerPoint capability.
G. Stakeholder Management
- Manage internal stakeholders: COO, CEO, CXOs, Business Heads, Finance, HR, Operations, Technology, Legal, Sales, Delivery.
- Manage external stakeholders: clients, consultants, auditors, investors, partners, vendors, advisors.
- Demonstrate maturity and confidence in influencing senior stakeholders.
H. AI-Led Productivity & Digital Transformation
- Champion AI adoption across the COO's Office hands-on with ChatGPT, Claude, Gemini, Microsoft Copilot, Perplexity, NotebookLM, Power BI, and workflow automation tools.
- Apply AI to executive research, business analysis, reporting, and presentation creation.
- Use AI to accelerate decision support and productivity enhancement enterprise-wide.
I. Special Projects
- Lead high-impact initiatives spanning operational excellence, cost optimisation, and AI implementation.
- Support organisation restructuring, change management, and M&A; integration.
- Drive digital transformation, productivity improvement, and business process redesign
