Project Management Assistant (Clinical Research)Role Overview
The Project Management Assistant provides administrative and operational support to Project Managers, CXOs, and the management team by coordinating project activities, maintaining documentation, tracking timelines, preparing reports, and facilitating communication between internal teams and clients. The role requires strong organizational skills, attention to detail, professionalism, and the ability to work in a fast-paced clinical research environment.
Key Responsibilities1. Project Coordination
- Assist Project Managers in planning, executing, and monitoring clinical research projects.
- Coordinate project activities and ensure timely completion of milestones.
- Schedule meetings, prepare agendas, record minutes, and follow up on action items.
- Coordinate activities between Clinical Operations, Regulatory Affairs, Data Management, Medical Writing, Biostatistics, Quality Assurance, and other functional teams.
- Monitor project timelines and proactively identify potential delays.
- Support CXOs and management with project coordination and reporting.
2. Documentation & Project Management
- Prepare feasibility documents and project planning documents as per company requirements.
- Maintain complete and accurate project documentation.
- Prepare project trackers, dashboards, progress reports, and status updates.
- Ensure all project documents remain current and compliant with company SOPs.
- Archive project records according to document control procedures.
- Assist in SOP preparation and continuous system improvement initiatives.
3. Communication & Stakeholder Management
- Act as a communication link between project teams,
management, clients, and external stakeholders.
- Follow up with departments regarding pending deliverables.
- Support client communications and meeting coordination.
- Escalate project risks, issues, and delays to Project Managers and management.
- Ensure smooth coordination among multiple departments for successful project execution.
4. Budget & Resource Support
- Assist in tracking project budgets and expenditures.
- Monitor resource allocation and utilization.
- Support invoice preparation and financial documentation whenever required.
- Assist management in maintaining project profitability and resource planning.
5. Quality & Compliance
- Ensure project activities comply with SOPs, Good Clinical Practice (GCP), applicable regulatory guidelines, and quality standards.
- Maintain inspection-ready documentation.
- Support internal and external audits.
- Assist with risk assessment, issue tracking, CAPA implementation, and quality improvement initiatives.
- Work in alignment with the organization's vision, quality culture, and operational objectives.
6. Reporting & Performance Monitoring
- Prepare daily, weekly, and monthly project status reports.
- Maintain project KPIs and performance dashboards.
- Update project management software such as MS Project, Smartsheet, Jira, or other company systems.
- Generate reports for management review meetings.
- Ensure quick turnaround time (TAT) for assigned responsibilities.
Required Qualifications
- Bachelor's Degree, Pharm.D, B.Pharm, M.Pharm, Life Sciences, Biotechnology, Clinical Research, or a related discipline.
- Freshers and candidates with 0–2 years of experience are encouraged to apply.

- Knowledge of clinical research processes.
- Understanding of Positive Clinical Practice (GCP).
- Familiarity with ICH Guidelines and applicable regulatory requirements.
- Experience with project management tools such as MS Project, Smartsheet, Jira, Asana, or equivalent software.
- Basic data analysis and reporting skills.
- Strong planning and execution capabilities.
- Ability to manage multiple projects simultaneously while maintaining high turnaround time (TAT).
