We are a growing Canadian tax and accounting firm committed to providing exceptional client service through technology, efficiency, and professional expertise. We are looking for a highly organized and proactive individual who enjoys communicating with clients, managing multiple priorities, and supporting daily firm operations.
About the Role
This is a client-facing operations role where approximately 50% of your time will involve communicating with clients via phone, email, WhatsApp, and our secure client portal. You will play a key role in ensuring that client communications are responded to promptly, important matters are escalated appropriately, and tax engagements move smoothly from onboarding to completion.
During personal tax season, you will also assist with the preparation of Canadian personal income tax returns (T1).
Key Responsibilities
- Respond to and monitor client communications through phone, email, WhatsApp, and our secure client portal.
- Manage the firm's WhatsApp communication channel and ensure no client message is overlooked.
- Review incoming communications daily and identify matters requiring immediate attention from senior consultants.
- Escalate priority issues to the appropriate team members.
- Record unresolved matters and follow-up items in the firm's online tracking system.
- Send secure client portal invitations and assist clients with onboarding.
- Follow up with clients who have not completed portal registration or uploaded required documents.
- Support the firm's day-to-day administrative and operational activities.
- Assist with accounts receivable follow-ups and payment tracking.
- Prepare Canadian T1 personal income tax returns during tax season.
- Maintain accurate client records and help ensure an excellent client experience.
Qualifications
- Diploma or Bachelor's degree in Accounting, Business, or a related field.
- Experience using QuickBooks Online or similar cloud-based accounting software.
- Excellent written and verbal English communication skills.
- Strong organizational skills and attention to detail.
- Comfortable handling multiple tasks while meeting deadlines.
- Professional telephone manner and customer service skills.
- Ability to work independently and as part of a team.
- Proficiency with Microsoft Office and Google Workspace.
- Previous experience in a Canadian accounting or tax firm is considered an asset.
- Experience with Canadian personal income tax preparation is an asset.
