- Finalize procurement plans for various materials based on market conditions, organizational needs, and project requirements in consultation with the HOD Procurement.
- Coordinate RFQ preparations, including BOQ, Technical specs, and Drawings, with the support of the Purchase Executive.
- Identify and shortlist pre-bid suppliers based on project constraints and check pre-qualification criteria (projects in hand, financial documents, etc.).
- Manage the end-to-end RFQ process, including RFQ launch, pre-bid technical meetings, bid receipt, and opening procedures.
- Prepare rate analyses and industry benchmark data to effectively prepare for negotiations.
- Negotiate with various suppliers to secure the best cost, delivery, warranty, and delivery conditions.
- Prepare comparative statements of quoted rates against prevailing market rates/budgets, capturing all relevant decision points for fair comparison.
- Finalize and issue order-related documents, including LOIs, Purchase Orders, and Bank Guarantees, after getting internal approvals.




- Prepare and update a data bank of Suppliers based on category, performance, holding capacity, and solvency.
- Empanel recent suppliers following thorough analysis and industry reference checks.
- Maintain a data bank of best practices and market conditions to achieve efficiency in negotiations and provide a competitive environment to suppliers.
- Verify that correct payment terms and conditions are entered into the ERP system for billing purposes.
- Facilitate the post-billing process and settlement of final account bills in consultation with the site and accounts teams.
- Drive periodic reconciliation of the supplier's ledger for outstanding payments or recoveries.
- Manage record keeping for the Purchase Department, including proper filing of PO submittals.
- Prepare MIS reports ensuring current rates of various components are updated regularly, alongside other reports desired by management.
