Hospital Information System & Clinical IT
- Point of contact along with the team members between HIS & Hospital staff.
- Manage day-to-day operations of the Hospital Information System (HIS) and Electronic Health Record (EHR) platform.
- Point of contact along with the team members between HIS & Hospital staff
- Support implementation of new HIS modules including OPD, IPD, and Pharmacy, Billing, and Laboratory integration.
- Ensure seamless interoperability between clinical departments and third-party diagnostic/lab systems.
- Coordinate planned system downtime procedures and maintain business continuity for critical clinical operations.
- Work closely with doctors, nurses, pharmacists, and administrative staff to understand workflow requirements and translate them into system configurations.
- Provide training and ongoing support to clinical and administrative end-users on hospital systems.
2. Asset & Inventory Management
- Maintain the IT Department Stock Register and ensure accurate asset tagging, allocation, movement, and disposal records across all units.
- Maintain a register of devices requiring upgrades or replacement and proactively plan refresh cycles.
- Track and maintain the IT Consumables Register (cartridges, peripherals, accessories, etc.).
3. System & Software Management
- Install, configure, and maintain operating systems and required software across all hospital endpoints.
- Perform regular software updates, license renewals, and version upgrades, maintaining appropriate registers.
- Ensure timely backup of critical clinical and operational data; implement and test disaster recovery (DR) protocols.
- Troubleshoot software-related issues and provide application-level support to end users.
- Periodically clean temporary files and remove redundant data to maintain optimal system performance.
4. Network & Internet Maintenance
- Ensure continuous and reliable functioning of internet and intranet connections across hospital premises.
- Monitor internet usage, bandwidth utilization, and access logs on a routine basis.
- Maintain and inspect network cabling infrastructure; perform cabling and crimping as required.
- Set up, configure, and maintain firewall and related security registers to ensure secure browsing and data protection.
5. Security, Data Privacy & Compliance
- Update, monitor, and manage antivirus solutions; resolve security incidents related to malware, phishing, and cyber threats.
- Implement and maintain Role-Based Access Control (RBAC) across all hospital systems to safeguard patient and operational data.
- Conduct periodic audits of user access logs, system activity, and data integrity.
- Ensure compliance with applicable data protection and privacy regulations (IT Act 2000, DISHA guidelines, and relevant healthcare standards).
- Support NABH / JCI accreditation requirements pertaining to IT infrastructure, documentation, and audit readiness.
- Assist in drafting, reviewing, and updating IT policies and Standard Operating Procedures (SOPs).
6. Hardware & Peripheral Support
- To oversee routine maintenance of desktops, laptops, servers, and peripherals; maintain comprehensive registers for all devices.
- Manage printer maintenance, cartridge refills, and equipment replacements.
- To oversee Set up and maintain projectors, video conferencing systems, and AV equipment for clinical and administrative use.
- Install, calibrate, and maintain biometric devices across hospital facilities.
7. User Support & Helpdesk Operations
- Provide timely and effective IT support to hospital staff across all departments for hardware, software, and network issues.
- Prepare and track IT tickets, manage escalation matrices, and ensure resolution within defined timelines.
- Support IT requirements for current projects, expansions, and infrastructure upgrades.
8. Vendor & Contract Management
- Liaise with EHR/HIS vendors for issue resolution, SLA adherence, and product roadmap discussions.
- Manage Annual Maintenance Contracts (AMC) and service agreements with IT and medical equipment vendors.
- Coordinate with internal IT teams (networking, helpdesk, and infrastructure) for integrated support delivery.
9. Documentation, Reporting & Coordination
- Prepare and maintain IT SOPs, user manuals, system documentation, and audit-ready registers.
- Submit regular reports on IT operations, incidents, and system performance to management.
- Participate in hospital IT steering committee meetings and present system performance metrics.
- Coordinate with department heads to identify IT requirements, support digital initiatives, and drive continuous improvement.
- Visit other Kangaroo Care Centres as per regular time table & as directed by the Reporting Head or CEO for IT support and assessments.
- Provide on-call or shift-based IT support as required; perform any other IT-related duties assigned by management.
