About the Role
INI Design Studio is looking for an experienced, proactive and detail-oriented Proposal & Bid Coordinator to support the senior leadership and Business Development/Bid team in preparing high-quality proposals, managing bid documentation, and coordinating with internal teams and external consultants. The role requires strong communication, excellent documentation skills, and the ability to manage multiple deadlines in a quick-paced, multidisciplinary design environment.

Key Responsibilities
- Support the preparation and submission of RFPs, RFQs, EOIs,



and bid documents.
- Review RFP documents and assist in preparing compliance matrices, checklists, and submission documentation.
- Attend pre-bid meetings, prepare meeting notes, and coordinate follow-up actions.
- Prepare technical proposals, capability statements, and project submissions in coordination with senior team members.
- Develop high-quality marketing presentations, credentials, and proposal documents using PowerPoint and Adobe InDesign.
- Draft and compile pre-bid queries and coordinate responses with the project team.
- Prepare sub-consultant agreements, consultancy agreements, NDAs, and other project-related documentation.
- Record and circulate meeting minutes and maintain proper documentation of key discussions and decisions.
