Role & Responsibilities:
Executive Support & Cross-Departmental Coordination:
Act as the primary administrative and operational bridge between the Managing Director, department heads, site managers, and factory personnel.
Base location will be Kondapur (Office), with travel alongside the Managing Director for client meetings, site visits, and factory inspections (IDA Jeedimetla).
Coordinate actively with clients, external CAs, banking partners, and internal accounts teams to maintain smooth operational, financial, and documentation workflows.
Maintain comprehensive meeting minutes (MOM), action-item trackers, and detailed note-keeping.
Quotation & Commercial Assistance:
Prepare, format, and manage quotations, cost estimates, and commercial proposals based on inputs from technical teams and site evaluations.
Coordinate with vendors and factory supervisors to compile accurate pricing and bill-of-quantities (BOQ) details.
Tracker Management & Reporting:
Maintain and update operational trackers in MS Excel to ensure real-time visibility across active projects,



financial schedules, and operational commitments.
Consolidate progress reports from team managers and present periodic summaries to the MD.
Communication & Schedule Management:
Handle incoming and outgoing calls, screen inquiries, and maintain skilled communication with clients and stakeholders.
Manage calendar scheduling, task prioritization, and proactive time-management reminders for the MD.

Preferred Candidate Profile
Working Location: Primary office in Kondapur, Hyderabad (with travel to factory/sites as required).
Languages: Fluent in English, Hindi, and Telugu.
Technical Skills: Proficiency in MS Excel, MS Word, quotation drafting, and operational tracking.
Mobility: Ability to drive a car (valid driving license) preferred for client/site visits with the MD.
Key Attributes: Highly proactive approach, exceptional organizational skills, discretion, and time management.
