Inventory & Stock Reconciliation: Cross-reference ERP stock databases against physical counts and billable services to prevent discrepancies.
System Integration: Align the billing module with other ERP modules like Accounts Payable, Accounts Receivable, and General Ledger for smooth financial workflows.
Financial & Transactional Duties
Bill Validation: Verify sales orders, delivery receipts, and agreed-upon pricing before approving and generating the final invoice.
Accounts Receivable Tracking: Record incoming payments, identify missed deadlines, and generate regular aging reports in the ERP.
Tax & Compliance (e.g., GST): Apply the correct taxation structures and generate e-invoices within the ERP to comply with local financial regulations.
Bank & Account Reconciliation:
Match ERP-generated reports with bank statements to ensure all financial transactions are accounted for accurately.
Customer Support & Dispute Resolution
Query Management: Investigate and resolve customer discrepancies, such as disputes over billed amounts, missing credits, or incorrect items.
Communication: Notify customers of upcoming or past-due payments via automated systems or direct contact.
Issue Escalation: Act as the first point of contact for software-related billing bugs or technical issues, coordinating with IT or ERP vendors for quick fixes.
Reporting & Administration
