About the Role
Aroza Event Center is a luxury banquet and wedding venue in California, hosting weddings, quinceañeras, corporate events, and private celebrations. We're hiring a Process Coordinator to support the Managing Director with back-office operations — keeping our booking pipeline organized, our processes documented, and our vendor and compliance records on track.
This is a behind-the-scenes operational role, not a sales position. You'll be the connective tissue that keeps the business running smoothly.
Key Responsibilities
Manage and update the booking pipeline — track inquiries, follow-ups, contracts, and event timelines
Develop and maintain Standard Operating Procedures (SOPs) for recurring venue processes
Coordinate with vendors (catering, decor, rentals, etc.) — track agreements, deliverables, and communications
Support financial administration — invoicing, expense tracking, and basic reporting




Monitor compliance tracking (permits, insurance renewals, contract deadlines)
Manage the MD's calendar, correspondence, and meeting prep
Prepare summarized reports and presentation materials to support business decisions
Handle sensitive and confidential matters with discretion
Prioritize and triage incoming requests, escalating what needs the MD's direct attention
Who We're Looking For
1–3 years of relevant admin, coordination, or operations experience (open to strong entry-level candidates with the right skill set)
Robust written and verbal English (Hindi/Punjabi a plus)
Tech-savvy: Google Workspace/Microsoft Office, video conferencing tools; CRM or booking software experience a plus
Excellent organization, multitasking, and follow-up skills
Sound judgment and discretion with confidential information
