(Skin, Hair & Aesthetic Clinic)

The Branch Manager is responsible for the overall leadership, administration, operational efficiency, patient experience, staff management, and revenue performance of the clinic. This role ensures that the clinical branch functions in full compliance with medical, ethical, and operational standards of the organization.

1. Operational & Administrative Management

- Ensure smooth day-to-day functioning of the clinic, including front office, procedures, consultations, and patient flow.

- Maintain strict adherence to clinic protocols, SOPs, treatment guidelines, and hygiene standards.

- Oversee scheduling, waiting times, and ensure zero operational disruptions.

- Monitor equipment, consumables, medical devices, and ensure preventive maintenance is carried out.

- Supervise housekeeping, sterilization, and waste management as per healthcare norms.

- Ensure statutory compliance (Biomedical Waste, Fire Safety, etc.) at branch level.

2. Staff Supervision & HR Responsibilities

- Supervise dermatologists, aestheticians, therapists, front office staff, nurses, and support staff.

- Prepare duty rosters, manage attendance, authorize leave, and ensure adequate staffing at all times.

- Conduct staff performance reviews, discipline management, and enforce HR policies.

- Ensure staff adhere to grooming standards, soft skills, and skilled behavior.

- Identify training needs and coordinate skill development programs with HR/Training Teams.

3. Patient Experience & Service Excellence

- Ensure top-quality patient experience from entry to exit.

- Monitor patient feedback, complaints, and ensure timely resolution.

- Maintain high standards of hospitality, communication, and follow-up protocols.

- Supervise the counselling team to ensure accurate treatment explanation and ethical sales.

- Ensure patient privacy, confidentiality, and adherence to medical ethics.





4. Revenue, Sales & Business Performance

- Achieve branch revenue targets, treatment sales, and monthly financial KPIs.

- Monitor conversion ratios, re-consultations, cross-selling, and package sales.

- Analyze revenue reports, performance trends, and initiate corrective actions.

- Drive marketing initiatives, local outreach, and promotional activities to increase patient footfall.

- Optimize inventory usage while reducing wastage and cost leakages.

5. Doctor Coordination & Clinical Operations

- Coordinate with dermatologists, cosmetologists, and medical teams to ensure efficient appointment scheduling.

- Ensure adherence to clinical SOPs for skin, hair, laser, and aesthetic procedures.

- Ensure proper consent forms, before-after photos, patient documentation, and treatment safety checks.

- Address operational needs of medical staff and maintain strong doctor relationships.

6. Compliance, Documentation & Reporting

- Ensure accurate maintenance of patient records, bills, treatment charts, and clinic registers.

- Audit daily cash flow, financial transactions, and reconcile payments.

- Maintain strict compliance with company policies, medical ethics, and legal requirements.

- Prepare daily, weekly, and monthly MIS reports for management review.

7. Crisis, Conflict & Risk Management

- Handle operational issues, staff grievances, patient escalations, and conflicts.

- Manage emergencies (medical or operational) as per clinic protocol.

- Ensure readiness for surprise audits, compliance checks, and inspections.

8. Leadership Responsibilities

- Act as the primary representative of the clinic for all internal and external interactions.

- Motivate staff, maintain discipline, and strengthen team culture.

- Lead meetings, communicate policy changes, and enforce performance standards.

- Ensure the branch meets quality, safety, profitability, and compliance goals.
