Role Overview
The Specialist – Faculty Operations Senior Officer plays a key role in supporting the operational and administrative activities of the Faculty Operations function.
Working closely with academic leaders, programme teams, and internal stakeholders, the role ensures the smooth coordination of academic governance, programme administration, curriculum management, and operational planning throughout the programme lifecycle.
The position requires excellent organisational skills, attention to detail, stakeholder management, and the ability to manage multiple priorities in a fast-paced academic environment.
Key Responsibilities1. Academic Governance
- Coordinate Faculty Boards and Academic Committee meetings.
- Prepare agendas, meeting papers and supporting documentation.
- Record meeting minutes and monitor action items.
- Support programme approval, modification and review processes.
- Maintain governance documentation and records.
2. Programme Administration
- Support operational activities across the programme lifecycle.
- Coordinate curriculum updates and programme changes.
- Assist with programme launches, modifications and closures.
- Maintain programme documentation and ensure data accuracy across systems.
- Support operational readiness for programme delivery.
3. Academic Process Coordination
- Support implementation of institutional academic processes.
- Coordinate student feedback activities and action tracking.
- Assist with planning and reporting activities.
- Ensure compliance with institutional policies and quality standards.
4. Faculty & Leadership Support
- Provide operational and administrative support to Faculty leadership.
- Coordinate meetings and maintain documentation.
- Assist programme teams with planning and delivery activities.
- Support day-to-day operational requirements of academic stakeholders.
5. Data Management & Reporting
- Maintain programme and operational records.
- Prepare reports for planning, governance and programme monitoring.
- Support data collection, analysis and reporting activities.
- Ensure timely and accurate operational reporting.

The role operates within a matrix management environment.

Candidate ProfileQualifications
Essential
- Bachelor's Degree in any discipline.
Preferred
- Experience working in Higher Education or Academic Administration.
- Experience using Microsoft Office, CRM applications and SharePoint.
SkillsEssential
- Excellent written and verbal communication skills.
- Strong organisational and coordination skills.
- Advanced MS Office skills (Word, Excel, Outlook).
- Strong analytical and problem-solving ability.
- Ability to manage multiple priorities and deadlines.

Working Hours
- 35 hours per week.
- Monday to Friday.
- Mid Shift (12:30 PM onwards).
- Flexibility to support occasional evenings and teaching weekends, with time off in lieu.
