Job Summary

The Export Executive will be responsible for managing end-to-end export order coordination for FMCG products, ensuring smooth communication with international customers, internal teams, and the factory. The role involves handling customer inquiries, pricing coordination, proforma invoice issuance, payment tracking, export documentation, shipment coordination, and post-supply customer support to ensure timely and effective execution of export orders. The role will also support the sales team by coordinating quotations, maintaining order status, and ensuring seamless customer communication.

Key Responsibilities

- Follow up with international customers regarding inquiries, orders, and shipment schedules.
- Prepare and share pricing details and quotations with customers based on approved commercial terms.
- Issue Proforma Invoices (PI) accurately and in a timely manner.
- Obtain and record customer order confirmations.
- Coordinate and follow up for advance payments as per agreed payment terms.
- Liaise with factory, production, and supply chain teams for order planning and execution.
- Monitor order status to ensure timely production and dispatch.
- Coordinate internally for export documentation and shipment readiness.
- Handle customer communication related to shipment updates, post-order supply queries, and issue resolution.




- Maintain export order records, customer correspondence, and commercial documentation.
- Support the sales team by maintaining order trackers and providing regular order status updates.
- Coordinate with internal teams for timely execution of customer requirements and ensure a high level of customer satisfaction.
- Ensure compliance with export procedures, documentation requirements, and company policies.

Required Skills & Competencies

- Strong communication and coordination skills.
- Good knowledge of export order processing and international trade documentation.
- Familiarity with Incoterms, shipping procedures, and export payment terms.
- Ability to manage multiple orders and timelines effectively.
- Proficiency in MS Office and ERP systems.
- Attention to detail and problem-solving ability.
- Customer-focused approach with strong follow-up skills.

Qualifications

- Minimum Bachelor's degree in Commerce, Business Administration, International Business, or a related field.
- Experience handling international customers and export documentation.
- Familiarity with export logistics, shipping processes, and international payment terms.
- Experience in the FMCG industry will be an added advantage.
