Job Description – Admin Executive (Leads Management, Transport Operations & Maintenance)
Position: Executive – Leads Management, Transport Operations & Maintenance
Department: Operations
Reporting To: Director – Operations / Management
Role Summary
The Executive – Leads Management, Transport Operations & Maintenance shall be responsible for ensuring efficient lead management across all digital channels while supervising the day-to-day functioning of transport and maintenance operations. The role requires strong coordination, process orientation, analytical ability, and timely decision-making to ensure seamless operations and an excellent parent experience.
Key Responsibilities
A. Leads Management & Digital Performance
* Own and manage the complete lead management lifecycle across all digital platforms, including Meta, Google, YouTube, website enquiries, and other lead-generation channels.
* Ensure all enquiries are captured, assigned, tracked, and closed within defined timelines.
* Monitor daily lead quality, response time, conversion ratios, and ageing of pending enquiries.
* Coordinate with the Admissions and Counselling team to ensure timely follow-up and optimum conversion.
* Track the performance of all digital marketing campaigns and prepare daily, weekly, and monthly performance reports.
* Monitor SEO performance, keyword rankings, Google Business Profile insights, website traffic trends, and overall digital visibility.
* Coordinate with external digital marketing agencies to ensure timely execution of campaigns and achievement of agreed KPIs.
* Identify gaps in the enquiry-to-admission funnel and recommend corrective actions to improve conversion.
B. Transport Operations
* Supervise the day-to-day transport operations to ensure safe, timely, and efficient movement of children.
* Review transport schedules, route efficiency, vehicle utilization, attendance, and punctuality.
* Monitor GPS tracking, departure and arrival timings, and route adherence.
* Coordinate with transport vendors, drivers, attendants, and school staff for smooth operations.
* Review transport complaints and ensure timely resolution.
* Verify transport-related bills, vendor documentation, and operational records before forwarding them for approval.
* Ensure all statutory documents, permits, insurance, and vehicle compliance records remain updated.
C. Maintenance Operations
* Supervise the overall maintenance function of the campus, including civil, electrical, plumbing, housekeeping coordination, HVAC, CCTV, networking, and other infrastructure.
* Monitor preventive and corrective maintenance schedules.
* Coordinate with vendors and contractors for repairs, annual maintenance contracts, and new projects.
* Review quotations, verify work completion, and recommend approvals for maintenance-related expenses.
* Ensure campus infrastructure remains safe, functional, and aesthetically maintained.
* Monitor maintenance complaints and ensure timely closure through the helpdesk system.
Reporting & Documentation
* Submit daily operational reports covering leads,
transport, and maintenance.
* Maintain dashboards, MIS reports, and operational trackers.
* Escalate critical operational issues immediately to the reporting manager.
* Ensure complete documentation and process compliance across all assigned functions.
Key Performance Indicators (KPIs)
* Lead response time and follow-up compliance.
* Lead-to-visit and visit-to-admission conversion ratios.
* Digital campaign performance and SEO improvement.
* Parent satisfaction regarding transport services.
* Transport punctuality and operational efficiency.
* Maintenance complaint closure time.
* Preventive maintenance compliance.
* Vendor management and cost optimization.
* Accuracy and timeliness of operational reporting.
Key Competencies
* Strong analytical and organizational skills.

* Proficiency in Google Sheets, Excel, and MIS reporting.
* Ability to manage multiple operational functions simultaneously.
* Robust communication and vendor management skills.

* Ability to work independently while maintaining cross-functional coordination.
Pay: ₹22,000.00 - ₹26,000.00 per month
