Overview:

Our client is seeking a highly capable, proactive HubSpot CRM & Learning Systems Automation Specialist to take technical ownership of their connected systems. You will lead the audit, build, optimisation, and ongoing management of HubSpot and connected tools, including Thinkific, Wix, Donorbox, and Integration Glue. This role is ideal for someone who can work independently, manage priorities, solve problems proactively, and provide clear recommendations without requiring detailed direction.

Schedule: Flexible during client's business hours | Sydney, AU Time Zone | Part-time role

Responsibilities:

- Audit the current HubSpot setup and take ownership of CRM structure, database hygiene, and ongoing optimisation
- Test, troubleshoot, finalise, and activate pending workflows across key pipelines, including clubs, employers, partnerships, donors, coach onboarding, and attendance tracking
- Build and maintain automations for participant onboarding, program communications, donor nurture, recurring donations, lead capture, and lifecycle journeys
- Set up, improve, and maintain integrations and data flows between HubSpot, Thinkific, Wix, Donorbox, and Integration Glue
- Support and improve Thinkific setup, including learner and course tracking, data capture, workflows, and the connection between Thinkific and HubSpot
- Manage webhooks, middleware, micro-app credits, and integration issues to ensure reliable data flow and attendance tracking
- Create and maintain dashboards and reports for program outcomes, fundraising, engagement, and operational performance
- Proactively identify system gaps, troubleshoot issues, document improvements, and present practical recommendations to leadership
- Provide light digital operations support where it complements the CRM and learning-platform ecosystem

Requirements:

- Strong hands-on HubSpot administration experience, including workflows, pipelines, custom properties, data hygiene, reporting, data management, and automation
- Practical experience with Thinkific or a comparable learning management system, including setup,



integrations, learner journeys, and reporting
- Experience integrating HubSpot with Wix, Donorbox, Thinkific, and middleware or APIs such as Zapier, webhooks, or Integration Glue
- Strong troubleshooting skills across CRM, integrations, data flows, and automation
- Ability to work independently, manage upwards, and take end-to-end ownership of technical priorities
- Excellent written English and transparent communication with non-technical stakeholders
- Experience auditing, optimizing, and maintaining HubSpot CRM environments
- Proven experience building and optimizing connected CRM ecosystems
- Ability to translate business requirements into technical priorities and actionable solutions with minimal direction

Preferred Qualifications:

- Experience supporting a charity, nonprofit, education, youth, community, or membership-based organisation
- Experience with donor pipelines, fundraising automation, and contact-data mapping across multiple stakeholder groups
- Familiarity with participant, school, employer, community-partner, donor, and volunteer CRM structures

What Success Looks Like:

Within the first few months, the successful candidate will have completed a transparent audit and action plan, stabilised key integrations, activated priority workflows, improved HubSpot and Thinkific data flow, and established a reliable reporting and optimisation process for the team.
