The Role

We are looking for an Admin Specialist who will play an essential role in delivering efficient, accurate, and dependable administrative support to the recruitment lifecycle. We are looking for a highly organized and detail-oriented Specialist - Recruitment Administration to support global recruitment operations and onboarding activities across multiple regions. This role plays a critical part in ensuring a seamless candidate journey from offer approval through onboarding while delivering exceptional stakeholder support across global teams.
Key Accountabilities
This role supports the EMEA shift (3:00 PM – 12:00 AM IST) Employees will be eligible for cab transportation services and night shift allowance, in accordance with AMS policies.
- Manage Offer Letter Approvals across EMEA, LATAM, APAC, and other global markets, ensuring accuracy and timely processing.
- Initiate and monitor Background Verification (BGV) and pre-employment screening activities.
- Coordinate end-to-end onboarding for employees across 35+ countries, including contract management,
documentation collection, payroll, and advantages registration.
- Manage global interview scheduling across multiple time zones, ensuring a seamless candidate and stakeholder experience.
- Partner with recruiters, hiring managers, HR, payroll teams, vendors, and candidates throughout the hiring and onboarding lifecycle.
- Maintain onboarding and recruitment trackers, reports, and documentation with a high level of accuracy.
- Support work allocation, task prioritization, and administrative coordination activities.
- Drive continuous process improvement initiatives to enhance efficiency and service delivery.
- Support ad-hoc recruitment administration and operational activities as required.
Skills & Requirements
- 3–5 years of experience in recruitment administration, onboarding, or HR operations.
- Proven experience in onboarding coordination and interview scheduling.
- Experience supporting global stakeholders across multiple regions and time zones.
- Strong attention to detail, accuracy, and organizational skills.
- Excellent prioritization, stakeholder management, and communication skills.
- Demonstrated ownership, accountability, and ability to manage multiple tasks.
- Comfortable working with manual administrative processes.
- Proficient in Microsoft Office, particularly Outlook and Excel.
