Responsibilities

A) Order Processing and Documentation:

- Order Receipt & Verification: Receive customer orders and ensure all details are complete, accurate, and aligned with customer requirements.
- Documentation Generation: Prepare and generate necessary documentation for freight forwarding, including invoices, delivery notes, and Eway Bills.
- Order Data Maintenance: Ensure that all relevant order information such as delivery addresses, customer contact details, and order specifications are accurate and up-to-date in the system.
- Record Keeping: Maintain comprehensive records of dispatched orders, including delivery status and related documentation, ensuring everything is properly archived.

B) Dispatch Planning and Warehouse Coordination:

- Dispatch Scheduling: Plan and schedule the dispatch of goods in line with customer orders and delivery requirements, ensuring timely and efficient shipments.
- Warehouse Coordination: Work closely with warehouse teams to ensure product availability, correct packing, and effective loading.
- Transport Vendor Coordination: Coordinate with transport vendors to ensure the timely availability of delivery vehicles, ensuring smooth delivery of goods.

C) Dispatch Monitoring and Problem Resolution:





- Tracking & Monitoring: Track and monitor the status of dispatched orders, ensuring they reach customers within the expected timeframe.
- Issue Resolution: Proactively resolve any delays, damages, or issues that occur during transit or delivery. Address customer inquiries, concerns, and complaints related to dispatch and delivery.
- Collaboration with Transporters: Collaborate with transport vendors and logistics partners for rate negotiations, contract renewals, and onboarding new delivery partners.
- Invoice and Rate Review: Review and verify transporter invoices, ensuring rates are consistent with agreed terms and performing regular rate analysis.
- Spend Analysis: Prepare weekly and monthly reports to analyze logistics spending, identifying opportunities for cost-saving and improved efficiencies.

Qualifications:

- Education: Bachelor's degree in Business, Supply Chain Management, Logistics, or a related field (preferred).
- Experience: Minimum of 3 to 5 years of experience in order management, dispatch operations, or supply chain management.
- Technical Skills: Strong knowledge of order management systems, freight forwarding processes, and ERP software. Proficiency in Microsoft Office Suite, especially Excel.
