ROLE OVERVIEW

We are looking for a hands-on, detail-oriented PMO Analyst to join our Project Management Office. In this role, you will be at the heart of our delivery engine owning process governance, driving BI-powered insights across the project portfolio, and ensuring disciplined execution across multiple concurrent engagements. You will work closely with Project Managers, Delivery Leads, and senior stakeholders to bring structure, visibility, and continuous improvement to every project we run.

KEY RESPONSIBILITIES

Process Governance

- Own and enforce PMO-defined standards, templates, and project lifecycle frameworks (initiation, planning, execution, closure).

- Conduct structured project audits across the portfolio assessing RAG status, milestone adherence, risk exposure, and governance compliance.

- Maintain and continuously improve the PMO playbook, including process documentation, SOPs, and escalation protocols.

- Track action items, decision logs, and governance meeting minutes; ensure accountability across project teams.

- Support CMMi, PMI, or internal methodology adoption across delivery teams.

BI &

- Data Analysis

- Design, build, and maintain BI dashboards and reports (Power BI, Tableau, or equivalent) covering project health, resource utilization, budget variance, and delivery KPIs.

- Gather and validate project data from multiple sources (JIRA, MS Project, Excel trackers, SharePoint) for consolidated portfolio reporting.

- Perform root-cause analysis on delivery bottlenecks, cost overruns, or schedule slippages using data driven approaches.





- Develop and maintain the PMO data model ensuring consistency, accuracy, and timeliness of all MI reporting.

- Present findings and trend analyses to senior stakeholders in clear, actionable formats.

Portfolio &

- Delivery Support

- Maintain the integrated project portfolio tracker tracking milestones, dependencies, risks, issues, and RAID logs.

- Coordinate project status reporting cycles: collect inputs, validate completeness, and publish on schedule.

- Support resource planning and capacity management processes across the portfolio.

- Facilitate lessons-learned sessions and feed outputs into process improvement initiatives.

- Assist in onboarding new projects to the PMO framework, including sales-to-delivery handover governance.

Stakeholder &

- Communication Management

- Serve as the PMO's point of contact for project managers seeking process guidance or reporting support.

- Prepare executive-level portfolio decks, steering committee packs, and governance reports.

- Proactively flag delivery risks, governance gaps, and data anomalies to relevant stakeholders.

REQUIRED SKILLS &

- EXPERIENCE

- 2-4 years of hands-on experience in a PMO, project delivery, or programme support role.





- Demonstrable experience running project audits, governance reviews, or health checks.

- Strong working knowledge of RAID logs, milestone tracking, and project lifecycle management.

- Exposure to IT staffing, managed services, or consulting delivery environments preferred.

- Proficient in Power BI or Tableau ability to build dashboards from scratch, not just consume them.

- Advanced Excel skills: pivot tables, XLOOKUP/INDEX-MATCH, dynamic arrays, conditional formatting, and data validation.

- Comfort with data wrangling from multiple sources (JIRA, SharePoint, MS Project, CRM exports).

- SQL knowledge or experience with data modelling is a plus.

- MS Office Suite: Excel, PowerPoint, Word, SharePoint (intermediate to advanced).

- Project tracking tools: JIRA, MS Project, or equivalent.

- Familiarity with AI-assisted productivity tools (Copilot, ChatGPT, Claude) for reporting and documentation is advantageous.

- Structured thinker with strong attention to detail you notice what others miss.

- Comfortable working across ambiguity; able to build processes where none exist.

- Clear communicator written and verbal across technical and non-technical audiences.

- Team-oriented and proactive; you raise flags early, not after the fact.

QUALIFICATIONS

- Bachelor's degree in Business, IT, Engineering, or a related field.
- PMI CAPM, PRINCE2 Foundation, or equivalent certification desirable but not mandatory.
- Microsoft Power BI certification (PL-300) is a plus.
