nABOUT THE ROLE

NWe are hiring a US Payroll & Accounts Specialist to support our US finance and billing operations from our India office. You will handle end-to-end weekly payroll for travel healthcare professionals, manage accounts receivable and payable, and oversee MSP billing through VMS portals — all in sync with US business hours.

nKEY RESPONSIBILITIES

NPayroll:

N- Process weekly W2 and 1099 payroll for travel nurses, allied health, and locum professionals

N- Calculate tax-free housing and meal stipends per IRS guidelines

N- Handle multi-state federal, state, and local tax deductions

N- Coordinate with recruiters to validate hours, overtime, and shift differentials

N- Manage year-end W2 and 1099 issuance

N- Resolve payroll queriesand discrepancies promptly

NAccounts Receivable:

N- Invoice hospitals, clinics, long-term care facilities, and MSP clients

N- Maintain AR aging reports and follow up on overdue accounts





N- Post incoming payments and reconcile against invoices

N- Support month-end and quarter-end AR close

NMSP Billing and VMS Portals:

N- Submit timesheets and invoices via VMS platforms such as Fieldglass, Beeline, Shiftwise, or HealthTrust

N- Track MSP billing cycles, rate confirmations, and contract compliance

N- Resolve billing disputes, credit memos, and short payments

N- Maintain bill rates, pay rates, and markup details per MSP contracts

NAccounts Payable:

N- Process vendor and contractor invoices within agreed payment terms

N- Perform three-way matching of purchase orders, receipts, and invoices

N- Maintain vendor recordsand payment schedules

NReconciliation and Reporting:

N- Conduct weekly and monthly bank reconciliations

N- Prepare AR aging, AP aging, and payroll summary reports

N- Support month-end and year-end close

N- Assist with audit preparation and documentation

nREQUIRED QUALIFICATIONS

N- Minimum 2 years of experience at a US healthcare staffing company — this is mandatory

N- Hands-on US payroll experience including W2, 1099, weekly pay cycles, and multi-state payroll

N- Direct experience with MSP billing and VMS portal submissions

N- Strong accounts receivable experience including invoicing, collections, and aging reports

N- Working knowledge of accounts payable, vendor payments, and reconciliation

N- Proficiency in accounting or payroll software such as QuickBooks, ADP, or Paychex





N- Strong Microsoft Excel skills including pivot tables, VLOOKUP, and reconciliation formulas

N- Good understanding of US payroll tax compliance including FICA, FUTA, SUTA, and stipend rules

N- Excellent written and spoken English for communication with US clients and teams

N- Must be willing to worknight shifts on a permanent basis — non-negotiable

N- Must be based in Mumbaior Nasik and able to work on-site

nPREFERRED QUALIFICATIONS

N- Bachelor's or diploma in Commerce, Accounting, or Finance

N- Experience with Fieldglass, Beeline, Shiftwise, or HealthTrust VMS platforms

N- Multi-state payroll experience especially in California, New York, Georgia, or Oregon

N- Prior experience in a US staffing BPO or India-based back office supporting a US staffing company

N- Familiarity with Joint Commission compliance in a staffing environment

N- Knowledge of US GAAP basics

N- Work Mode: On-Site only, no remote or hybrid option

N- Office: Mumbai or Nasik, Maharashtra

N- Shift: 6:00 PM to 3:00 AM IST, Monday to Friday

N- Weekly Off: Saturday and Sunday

N- Notice Period: Immediate preferred, maximum 30 days
