Duties and Responsibilities:
- Responsible for maintenance of the Tata Sabrang office in different locations
- Management of the office especially record keeping and maintenance of documents and files
- Procure and maintain stationeries, printing and materials locally
- Ensure timely opening and closing of office
- Ensure safe keeping of assets and commodities
- Ensuring cleanliness of the state office
- Will support during training, workshops and other events organised by YRG CARE
- Receive, deliver, courier documents and other materials to other offices and stakeholders
- Communication to district teams as per requirement of the project
- Greet all clients and visitors in a professional, respectful, and friendly manner.
- Register clients, verify appointments, and update patient information in the clinic management system or register books.
- Ensure confidentiality and discretion,
particularly for clients accessing HIV/AIDS and related health services.
- Answer telephone calls and respond to inquiries or direct calls to appropriate staff.
- Schedule appointments, follow-up visits, and manage clinic calendars.
- Maintain and organize client files, documentation, and consent forms.
- Ensure waiting areas are clean, comfortable, and stocked with educational materials.
- Assist with client flow by coordinating with nurses, counselors, and doctors.
- Record daily attendance logs and assist with basic data entry for reporting purposes.
- Provide information about clinic services, hours, and procedures.
- Assist with filing, photocopying, and other administrative duties as required.
- Track and maintain stock levels of HIV test kits, ARVs, condoms, STI drugs, IEC/BCC materials, and other program supplies.
- Prepare and distribute commodities to outreach teams, clinics, or partner organizations as needed.
- Maintain accurate inventory records, stock cards, and logistic tracking tools.
- Assist in preparing logistics reports including stock status, supply consumption, and distribution logs.
- Support physical stock counts and inventory audits in collaboration with finance and program teams.
Requirements
Requirements
- Should be at least educated up to 8th standard with valuable knowledge of the local community and local language.
- Preference will be given individuals from TG/MSM/PWID/FSW/PLHIV community.
- In case of PWID, the candidate should be stable on OST or clients who have completed OST treatment
- Strong communication and facilitation skills
- Ability to read and write in local language
