Vistra is a global leader in corporate services, and DMS platform is undergoing a significant transformation of its global Document Management System landscape, including the definition of a future-state DMS strategy, rationalisation of current repositories, iManage modernisation, SharePoint alignment, document migration planning, governance uplift, and the creation of a structured global taxonomy and platform roadmap. We are looking for a proactive, hands-on and commercially minded DMS Platform Lead to own and drive the end-to-end DMS strategy and delivery roadmap across Vistra. This is a high-visibility leadership role requiring a strong mix of DMS domain expertise, delivery ownership, stakeholder management, financial planning, governance leadership, and critical thinking.
The successful candidate will lead the strategy, roadmap and delivery execution for DMS and iManage-related initiatives, while remaining DMS-platform agnostic. They should understand enterprise document management principles, SharePoint, iManage or equivalent DMS platforms, legacy repositories, migration challenges, taxonomy design, security, governance, compliance, operational support, and user adoption. This role will work closely with senior stakeholders across Business Applications, GDH market heads, business leadership, Finance, Application Support, Infrastructure, Information Security, vendors, and transformation teams. The role will be expected to lead SteerCos, drive executive-level decisions, prepare financial workbooks, support CAPEX/OPEX discussions, and ensure DMS delivery is aligned to Vistra’s wider transformation priorities.
Scope
The DMS Lead will own the overall DMS transformation roadmap and platform direction for Vistra. The role is accountable for translating business needs, current-state assessment findings, technical constraints, financial considerations, and regulatory requirements into a practical and executable DMS roadmap.
The role will also provide leadership across DMS migration waves, iManage upgrade and modernisation activities, SharePoint alignment, legacy DMS rationalisation, target taxonomy definition, governance frameworks, and operational readiness.
This is not a purely strategic or governance-only role. The individual must be hands-on enough to understand DMS configuration, migration complexity, platform dependencies, risks, support models, application ownership considerations, and financial implications. Key Responsibilities
Own and drive Vistra’s enterprise-wide DMS strategy, target-state architecture, and transformation roadmap across iManage, SharePoint, legacy repositories, shared drives, and other document management platforms.
Define and execute a practical roadmap for DMS consolidation, rationalisation, modernisation, governance, and migration, ensuring alignment with business, regulatory, and operational requirements.
Establish governance frameworks, decision principles, taxonomy standards, metadata structures, security classifications, retention policies, access controls, and data residency requirements across the DMS landscape.
Lead DMS SteerCos, governance forums, working groups, and executive decision-making sessions, providing strategic direction and driving timely stakeholder decisions.
Partner with senior business leaders, GDH market heads, technology teams, and regional stakeholders to align DMS initiatives with broader business transformation, digitalisation, and operational objectives.
Own the end-to-end delivery of DMS initiatives, including iManage upgrades, document migrations, SharePoint alignment, taxonomy enhancements, workspace configuration, legacy platform rationalisation, and operational readiness activities.
Provide leadership across multiple concurrent DMS programmes, ensuring effective management of priorities, resources, budgets, dependencies, risks, and delivery outcomes.
Collaborate with Business Analysts, application support teams, infrastructure, security teams, vendors, and delivery partners to ensure successful execution and coordination of DMS initiatives.
Drive resolution of complex business, technology, operational, and vendor-related issues, ensuring risks and blockers are proactively identified, managed, and resolved.
Build, maintain, and present business cases, financial models, cost-benefit analyses, CAPEX/OPEX plans, budget forecasts, investment recommendations, and funding proposals for DMS initiatives.
Track and manage approved budgets, project spend, financial performance, commercial risks, and reforecasting activities while ensuring DMS decisions are supported by strong financial and business justification.
Act as the senior DMS point of contact across business, technology, finance, and vendor teams, leading stakeholder engagement, requirements discussions, conflict resolution, and expectation management.
Lead strategic vendor engagements covering platform assessments, migration tooling, cloud options, support models, commercial negotiations, Statements of Work (SOWs), implementation planning, and service delivery oversight.
Ensure all DMS initiatives comply with information security, data protection, audit, regulatory, compliance, and business continuity requirements while implementing appropriate migration controls, validation, reconciliation, and governance processes.
Oversee operational readiness and transition to BAU support by establishing support models, SLAs, knowledge transfer plans, training programmes, documentation standards, and continuous improvement practices, ensuring lessons learned are embedded into future delivery approaches. Strong enterprise DMS knowledge across iManage, SharePoint and/or comparable document management platforms.
Ability to remain DMS-agnostic and assess platform options objectively based on business needs, governance, cost, usability and risk.
Strong understanding of document taxonomy, metadata, access control, retention, versioning, migration, integration and governance principles.
Experience working with application support, infrastructure, security, data privacy and vendor teams.
Strong financial modelling and budgeting skills,
including CAPEX/OPEX planning and executive cost justification.

Role Minimum
Requirements
Bachelor’s degree in Information Technology, Computer Science, Business, Engineering or a related field.
10+ years of experience in technology delivery, enterprise applications, DMS, content management, information management or digital transformation.
Proven experience leading document management, content management, platform migration, application transformation or enterprise technology programmes.
Experience with iManage, SharePoint or comparable DMS/content platforms.
Experience managing global stakeholders and senior governance forums.
Experience preparing business cases, financial models, funding requests, CAPEX/OPEX plans and executive decision papers.
Experience working with vendors and reviewing SOWs, commercials, delivery plans and support models.
Solid English written and verbal communication skills.
Ability to work across UK/EU and APAC time zones as required. Desirable
