The Content Analyst role sits within the Chief Editor's Office and is central to our mission of making 123Greetings not just a card-sending platform, but a daily emotional companion for our readers.
Role Summary The Content Analyst is responsible for planning, organizing, scheduling, and coordinating the complete editorial ecosystem of 123Greetings while also owning the website that houses this content and helping extend its reach through marketing. This role ensures that every newsletter edition is published on time, that the site presenting our blogs and messages/cards runs smoothly, and that great content actually finds its readers.
The Content Analyst owns end-to-end execution from editorial calendar management and website oversight to content marketing and performance reporting while the Chief Editor retains ownership of vision, quality standards, and editorial direction.
This is not a writing role: the Content Analyst does not produce content, but instead manages the systems, the website, and the outreach that let content perform at its best.
Key Responsibilities
1.
Editorial Calendar
Management (Primary Responsibility)
- Own and maintain the master editorial calendar for 123Greetings.
- Maintain content planning 3–6 months in advance to support proactive, timely publishing.
- Track and manage the following content dimensions across the editorial pipeline:
◦ Daily events and National / International observances
◦ Seasonal themes, relationship moments, and human experience topics
◦ Emotional calendar topics aligned with the 123Greetings brand voice
◦ Card promotions, product launches, and marketing campaigns
- Ensure no significant event or observance is overlooked.
- Maintain structured weekly, monthly, and quarterly planning schedules.
2.
Newsletter
Planning & Content Blueprinting
- Create the daily content blueprint for each newsletter edition.
- Ensure every edition consistently contains all required sections, including (but not limited to):
◦ Thought of the Day
◦ Celebration of the Day
◦ Relationship Message
◦ Card of the Day
◦ Beautiful Question
◦ Today's Task
◦ Acts of Kindness
◦ Interactive Section
- Coordinate with all contributors well in advance of publishing deadlines.
3.
Website
Ownership & Management
- Own the website that hosts 123Greetings' editorial content — blogs, messages, and cards — end to end.
- Ensure content is published, organized, and displayed correctly across web and mobile.
- Monitor site structure, navigation, and categorization so readers can easily find relevant blogs and messages.
- Coordinate with developers and the product team to fix issues, improve layout, and roll out enhancements to content pages.
- Track site health basics relevant to content — page load, broken links, outdated pages and flag or resolve them

Editorial
Workflow & Production Management
- Build and manage end-to-end production timelines for all content.
- Track every article and content asset through the full editorial lifecycle:
◦ Idea → Research → Draft → Editing → Review → Approved → Scheduled → Published
- Proactively identify and resolve production bottlenecks before they impact publishing schedules.

Content
Marketing & Distribution
- Get involved in marketing the content once published, helping plan how blogs, newsletters, and messages reach and engage readers.
- Work with the marketing and social media teams to promote key editorial pieces across channels.
- Support campaigns that tie content to card promotions and product launches.
- Monitor which content resonates and feed that insight back into future editorial and marketing decisions.
- Cross-Team Content Coordination
- Serve as the central coordination point across all content-related functions at 123Greetings, including:
◦ Writers, Researchers, and Designers
◦ SEO Team and Product Team
◦ Marketing, Social Media, and Video Team
- Ensure all content assets are delivered on schedule and meet established editorial standards.
- Relationship & Emotional Content Library
- Maintain and continuously expand a structured database of editorial ideas, organized across three dimensions:
◦ Relationships
◦ Parents, Friends, Coworkers, Teachers, Grandparents
◦ Neighbours, Mentors, Children, Spouse, Long-distance Friends
◦ Emotions
◦ Gratitude, Forgiveness, Regret, Hope, Joy
◦ Nostalgia, Pride, Kindness, Loneliness

◦ Recent Job, Retirement, Loss, Recovery, New Parent

- Position this library as the editorial team's primary idea engine for the 123Greetings content programme.

Intelligence & Opportunity Planning
- Maintain a comprehensive intelligence database covering:
◦ Celebration and birthday databases
◦ Historical anniversaries and seasonal editorial opportunities
◦ Trending conversations and evergreen relationship topics
- Proactively recommend future editorial opportunities based on upcoming events, cultural moments, and platform card inventory.

Editorial Quality
Assurance
- Conduct a thorough pre-publication review of all content, verifying:
◦ Tone consistency and adherence to 123Greetings editorial guidelines
◦ Alignment with the intended emotional objective of the edition
◦ Grammar accuracy and fact-checking
◦ Internal links, card links, and CTA placement
- Stakeholder & Launch Coordination
- Attend and actively contribute to weekly editorial planning meetings.
- Coordinate content launch schedules and cross-functional dependencies with:
◦ Engineering and Design
◦ Marketing, CRM, and Social Media

Performance
Analytics & Reporting
- Prepare and present weekly performance dashboards covering:
◦ Newsletter open rates and click-through rates (CTR)
◦ Website traffic, engagement, and top-performing blogs/pages
◦ Most engaged and most shared stories
◦ Card clicks, reader feedback, and publishing consistency
- Identify performance trends and recommend actionable content and marketing improvements.

- Develop and maintain all core editorial documentation, including:

◦ Editorial Calendar and Publishing Checklist

- Background in behavioural science or psychology, with a genuine interest in human relationships and emotion
- Strong storytelling instinct and a communicator's sensitivity to tone and emotional nuance
- Exceptional organizational ability and rigorous attention to detail
- Strong project management and deadline management skills
- Editorial planning and content calendar management expertise
- Comfort managing or coordinating website content — layout, structure, and publishing
- Basic understanding of content marketing and how to promote published content across channels
- Proficiency in spreadsheet tools — Microsoft Excel or Google Sheets
- Familiarity with content and project management platforms such as Notion, Airtable, Trello, Asana, or ClickUp
- Basic understanding of SEO principles as they apply to editorial content

- Exposure to managing a content-driven website (blogs, articles, or similar) is a plus.
