General Manager Factory PM / Project Management
JOB SUMMARY
The General Manager – Factory PM / Project Management Team is responsible for leading end-to-end factory project management activities, including project planning, execution, coordination, resource management, budget monitoring, stakeholder communication, and timely delivery of manufacturing-related projects. The role ensures that factory projects are completed within approved scope, cost, quality, safety, and timeline parameters while supporting operational excellence, capacity expansion, process improvement, automation initiatives, equipment installation, infrastructure readiness, and business growth objectives.
The position carries decision-making authority for project execution priorities, project resource allocation, escalation management, cross-functional coordination, vendor and contractor follow-up, project risk mitigation, and reporting of project performance to senior leadership.
KEY ROLES AND RESPONSIBILITIES
- Lead the Factory Project Management function and ensure structured planning, execution, monitoring, and closure of all assigned factory projects.
- Develop project charters, execution plans, milestone trackers, resource plans, risk registers, communication plans, and implementation schedules.
- Coordinate with Manufacturing, Machining, Quality, Purchase, Maintenance, R&D;, Finance, HR & Admin, EHS, vendors, contractors, and senior management to achieve project deliverables.
- Ensure project scope, cost, timeline, quality, compliance, and safety requirements are clearly defined, tracked, and achieved.
- Review project progress on a weekly and monthly basis and present actionable dashboards, MIS reports, bottleneck analysis, and recovery plans to management.
- Drive timely decision-making for project priorities, material readiness, manpower allocation, external dependencies, and implementation risks.
- Ensure seamless handover of completed projects to respective operational departments with proper documentation, training, and closure reports.
PROJECT MANAGEMENT RESPONSIBILITIES
- Prepare detailed project plans covering scope, objectives, timelines, milestones, responsibilities, dependencies, deliverables, and approval gates.
- Monitor project schedules using project tracking tools and ensure adherence to approved timelines with measurable milestone completion targets.
- Identify project delays, resource constraints, engineering changes, procurement issues, quality concerns, and site execution risks; initiate corrective actions promptly.
- Conduct project review meetings with cross-functional teams and ensure clear ownership, action closure, and escalation discipline.
- Maintain project documentation including project plans, Gantt charts, MOMs, progress reports, change requests, risk logs, budget trackers, commissioning reports, and closure documents.
- Ensure that all factory projects follow defined governance processes, approval workflows, documentation standards, and reporting formats.
OPERATIONAL MANAGEMENT RESPONSIBILITIES
- Oversee project execution on the shop floor and ensure coordination between production requirements and project implementation activities.
- Support operational readiness for new lines, equipment, layouts, process improvements, capacity enhancement, and plant infrastructure projects.
- Ensure minimum disruption to ongoing manufacturing operations during project execution, installation, trials, validation, and handover.
- Coordinate with Maintenance and Engineering teams for equipment foundation, utilities, installation, commissioning, preventive requirements, and asset readiness.
- Track operational project performance against productivity, efficiency, downtime reduction, quality improvement, capacity expansion, and cost-saving objectives.
STRATEGIC PLANNING AND BUSINESS DEVELOPMENT RESPONSIBILITIES
- Participate in annual and long-term factory project planning aligned with business growth, customer requirements,
production capacity, technology upgrades, and operational excellence goals.
- Support leadership in evaluating feasibility of new factory projects, expansion plans, automation investments, process improvement initiatives, and infrastructure development.
- Translate business objectives into project roadmaps with measurable deliverables, cost implications, timeline requirements, risk exposure, and expected returns.
- Recommend process improvements, project management frameworks, digital tracking systems, and governance mechanisms to improve execution effectiveness.
- Contribute to business growth targets by ensuring timely project implementation for capacity enhancement, new product readiness, customer project delivery, and operational scalability.
TEAM LEADERSHIP AND PEOPLE MANAGEMENT RESPONSIBILITIES
- Lead, guide, and develop the Factory Project Management team, including project managers, coordinators, planners, engineers, and support staff as applicable.
- Define roles, responsibilities, accountability matrices, reporting structures, and performance expectations for project team members.
- Build a high-performance project culture focused on ownership, timeline discipline, problem-solving, communication, documentation, and cross-functional collaboration.
- Conduct periodic performance reviews, identify training needs, mentor team members, and support succession planning for critical project roles.
- Ensure effective stakeholder management by maintaining transparent communication with internal departments, external vendors, contractors, consultants, customers, and senior leadership.
BUDGETING AND FINANCIAL MANAGEMENT RESPONSIBILITIES
- Prepare, review, and monitor project budgets, cost estimates, cash flow requirements, capital expenditure proposals, and cost-benefit analysis for factory projects.
- Track project spending against approved budgets and ensure timely reporting of cost variances, forecast changes, and corrective actions.
- Coordinate with Finance, Purchase, and user departments for PR/PO approvals, vendor payments, budget utilization, cost controls, and project capitalization requirements.
- Drive cost optimization through value engineering, vendor negotiation support, resource planning, scope control, and effective project execution.
- Maintain accountability for budget responsibility assigned to the Factory PM function and ensure financial discipline across all active projects.
COMPLIANCE AND RISK MANAGEMENT RESPONSIBILITIES
- Ensure all factory projects comply with applicable statutory, safety, environmental, quality, customer, and internal audit requirements.
- Coordinate with EHS, Quality, Maintenance, Admin, and external agencies to ensure required approvals, safety controls, permits, inspections, and certifications are completed before implementation.
- Identify project risks related to schedule, cost, quality, safety, contractor performance, vendor delivery, technical feasibility, and operational disruption.
- Develop risk mitigation plans, contingency plans, escalation processes, and recovery plans for critical projects.
- Ensure contractors, vendors, and project teams follow site safety rules, work permits, PPE requirements, quality standards, and organization policies.
DECISION-MAKING AUTHORITY
- Prioritize factory project activities based on business criticality, approved timelines, resource availability, and management direction.
- Approve project execution plans, internal work allocation, project schedules, and operational-level corrective actions within delegated authority.
- Recommend budget approvals, vendor selections,
scope changes, timeline revisions, and resource additions to senior leadership as required.
- Escalate critical project risks, budget deviations, compliance concerns, and unresolved interdepartmental issues to the appropriate authority.
REQUIRED QUALIFICATIONS
- Bachelor's degree in Mechanical Engineering, Industrial Engineering, Production Engineering, Electrical Engineering, Project Management, or a related discipline.
- MBA, PG Diploma in Operations / Project Management, PMP, Prince2, Lean Six Sigma, or equivalent certification will be an added advantage.
- Strong knowledge of manufacturing operations, factory project execution, equipment installation, industrial engineering, process improvement, and project governance is preferred.
REQUIRED EXPERIENCE
- Minimum 15 to 20 years of relevant experience in manufacturing, factory project management, operations, engineering, plant expansion, or industrial project execution.
- At least 5 to 8 years of experience in a senior leadership role managing cross-functional teams and multiple factory projects simultaneously.
- Proven experience in managing project budgets, vendors, contractors, plant-level stakeholders, senior management reporting, and time-bound project delivery.
- Experience in medium-to-large manufacturing organizations is preferred.

- Proficiency in MS Office, MS Project, ERP systems, project dashboards, Gantt charts, MIS reporting, and documentation controls.
- Ability to manage multiple priorities, lead cross-functional teams, resolve conflicts, and deliver measurable business outcomes under time pressure.

- Percentage of projects completed on time against approved project schedules.
- Percentage of projects completed within approved budget and cost variance limits.

- Reduction in project delays caused by coordination gaps, vendor delays, resource shortages, or planning failures.
- Improvement in plant capacity, productivity, cost savings, equipment readiness, process efficiency, or operational excellence resulting from completed projects.
- Stakeholder satisfaction score from internal departments and senior leadership.
- Compliance with documentation, audit, safety, statutory, and project governance requirements.
WORKING CONDITIONS
- Role requires regular presence at factory, project sites, production areas, vendor locations, and management review meetings.
- May require extended working hours during critical project milestones, shutdown activities, installation, commissioning, audits, and urgent business requirements.
- Requires interaction with internal departments, external vendors, contractors, consultants, auditors, customers, and senior leadership.
