JOB DESCRIPTION - STORE OFFICER (CIVIL PROJECT)
Department: Project Stores / Procurement
Location: Kota, Rajasthan
Reporting To: Procurement Manager / Procurement Heads
Job Purpose
The Store Officer is responsible for managing all site store operations, including receiving, storing, issuing, and controlling construction materials, tools, equipment, and consumables. The role ensures uninterrupted material availability, accurate inventory records, proper storage practices, and compliance with company procedures to support timely project execution.
Key Responsibilities
Material Receipt & Inspection
- Receive materials against approved Purchase Orders (PO), Delivery Challans, and Invoices.
- Verify material quantity, quality, specifications, and physical condition.
- Coordinate with the Quality and Site Engineering teams for inspection and acceptance.
- Report shortages, damages, or discrepancies immediately to the Procurement Manager.
Inventory Management
- Maintain accurate inventory records in ERP/MIS and manual registers.
- Monitor minimum and maximum stock levels and initiate timely replenishment.
- Conduct daily, weekly, and monthly physical stock verification.
- Reconcile physical stock with system records and resolve discrepancies.
Material Issue & Control
- Issue materials only against approved Material Requisition Slips (MRS).
- Follow FIFO (First In, First Out) or FEFO wherever applicable.
- Maintain complete records of material issues and returns.
- Monitor material consumption and prevent misuse or wastage.
Store Operations
- Ensure proper storage, stacking, labeling,
and housekeeping of all materials.
- Safely store cement, steel, electrical, plumbing, finishing materials, chemicals, and consumables.
- Protect materials from theft, damage, weather, and deterioration.
- Maintain proper identification and traceability of all inventory.
Documentation & Reporting
- Maintain Goods Receipt Notes (GRN), Material Issue Notes (MIN), Gate Passes, and Stock Registers.
- Prepare daily, weekly, and monthly inventory reports.
- Maintain all store records for internal and external audits.
- Ensure timely and accurate documentation in ERP.
Coordination
- Coordinate with Procurement, Site Engineers, Planning, Accounts, and Vendors.
- Follow up on pending deliveries and material shortages.
- Support project material planning to avoid work stoppages.
- Communicate inventory status and critical stock requirements to management.
Asset & Tool Management
- Maintain records of tools, machinery, scaffolding, shuttering materials, and project assets.
- Monitor issue, return, repair, and maintenance of tools.
- Report damaged, lost, or obsolete assets.
Compliance & Safety
- Follow company policies, SOPs, and inventory control procedures.
- Ensure compliance with safety standards and statutory requirements.
- Support internal and external audits.
- Maintain a clean, safe, and organized store workplace.
Qualification
- Graduate in any discipline.
- Diploma or Bachelor's Degree in Supply Chain, Material Management, Civil Engineering, or a related field will be preferred.
Experience
- 3- 7 years of experience in store management for civil construction or infrastructure projects.
- Experience in handling cement, steel, aggregates, electrical, plumbing, finishing, and mechanical materials.
- Experience working with ERP/MIS inventory systems is preferred.

Authority
The Store Officer is authorized to:
- Receive and issue materials as per approved procedures.
- Verify supplier deliveries and supporting documents.
- Recommend reorder quantities and inventory improvements.
- Report inventory discrepancies, damages, shortages, and non-compliance to the Procurement Manager.
- Stop acceptance of damaged or non-conforming materials until inspection and approval are completed.
