Job Title: Facility Analyst Level 2 (Mid-Level)
Role Summary
The Facility Analyst Level 2 is responsible for day-to-day facility operations management,
vendor coordination, compliance monitoring, and service delivery optimization. This role
acts as a bridge between execution teams and facility leadership, ensuring smooth operations,
adherence to SLAs, and a safe, compliant workplace environment.
Key Responsibilities
Facility Operations Management
- Oversee daily facility operations including housekeeping, security, front office,
transport, cafeteria, and maintenance
- Ensure uninterrupted services across all facility functions
- Conduct regular floor walks and facility inspections to identify gaps and corrective
actions
- Monitor workplace readiness, hygiene standards, and infrastructure usability.
Vendor & Contract Management
- Manage multiple facility vendors and ensure compliance with contract terms and SLAs
- Validate vendor attendance, manpower deployment, and duty rosters
- Review vendor invoices, service reports, and escalation logs
- Coordinate with vendors for corrective actions, audits, and performance improvements.
Compliance & Safety
- Ensure compliance with statutory, safety, and organizational facility standards
- Support fire safety, health & safety, and emergency preparedness programs
- Maintain records for audits, certifications, and inspections
- Report and track safety incidents, near misses, and corrective measures.
Asset & Infrastructure Management
- Maintain inventory of facility assets, consumables, and equipment
- Track asset lifecycle, AMC schedules, and preventive maintenance
- Coordinate repairs, refurbishments, and infrastructure upgrades
- Support space planning, seating arrangements, and movement tracking.
Service Quality & SLA Monitoring
- Monitor service delivery KPIs and SLA adherence across all vendors
- Analyze recurring issues and recommend operational improvements
- Handle user complaints,
service tickets, and escalations efficiently
- Ensure high customer satisfaction through timely issue resolution.
Reporting & Documentation
- Prepare and maintain facility MIS reports (daily, weekly, monthly)
- Track cost, utilization, incidents, and vendor performance metrics
- Maintain SOPs, policies, logs, registers, and compliance documents
- Support budgeting and cost optimization initiatives.
- Stakeholder Coordination
- Act as the primary point of contact for internal teams on facility-related matters
- Coordinate with HR, Admin, Security, IT, and Business teams
- Communicate operational updates, risks, and improvement plans to leadership.
Skill Requirements
Technical & Functional Skills
- Strong understanding of facility operations and workplace services
- Knowledge of vendor management, SLA tracking, and compliance
- Familiarity with facility tools, ticketing systems, and asset trackers
- Working knowledge of safety standards, audits, and statutory norms
Analytical & Reporting Skills
- Ability to analyze operational data and identify trends
- Proficient in MIS preparation, dashboards, and reporting
- Strong documentation and record-keeping skills
Communication & Coordination
- Transparent verbal and written communication skills
- Ability to handle escalations and manage multiple stakeholders
- Strong coordination and follow-up skills

Educational Qualification
- Bachelor’s degree in Facility Management, Business Administration, Engineering,
or related field
- Certifications in Facility Management / Safety / Project Management are an added advantage.
Experience Requirement
- 3-5 years of experience in facility management or workplace operations
- Experience in corporate offices, IT parks, or large commercial facilities preferred
