Summary The Global Portfolio Administration Department supports the firm's Institutional, Private Client, and Retail business channels.
The Account Transitions (AT) team handles onboarding, account closing, and everything in between, such as custodian changes, in-kind movements, and market openings & the Onboarding Analyst plays a crucial role serving as the primary contact for operational servicing needs.
Our aim is to ensure the accuracy of client portfolios throughout the transition lifecycle, striving for operational excellence by delivering superior service and improving efficiencies without compromising controls or risk management.
Effective communication with internal and external clients is essential, and team members are expected to work collaboratively with their local and regional colleagues.
The role requires meticulous attention to detail, adherence to deadlines, and the ability to respond promptly to a wide range of inquiries. Understanding the global model's implications is vital, as changes to data or flow can significantly impact the accounting systems at the core of the firm's infrastructure.
Responsibilities/Prime Functions • Project manage the end-to-end process and mitigate risks associated with fund/mandate launches, custodian changes, closures, and transition events.
- Work closely with internal stakeholders to assist with fund/mandate launches, closures, and transition events (e.g., custodian changes, name changes, in specie transitions, benchmark changes).
- Manage communication with external parties (e.g., custodians, administrators, transition managers) throughout the lifecycle of the event.
- Ensure all stakeholders are aware of progress and are contributing towards the target completion dates by managing communication internally and externally during events.
- Assist with the operational setup of each transition event on internal systems and establish custodial accounts and linkage.
- Collaborate with the Derivatives Administration team to facilitate the setup of trading agreements for derivative products.
- Ensure market openings for current clients are completed in advance of the funding date and that new market requests are completed on a timely basis for existing clients.
- Foster and maintain strong working relationships with other functional areas of the business as required.
- Build and maintain strong relationships with external service and system providers.
- Participate in various firm initiatives and working groups.
Qualifications and Requirements
- Candidates must have a minimum of 5 years of experience in Banking or Asset Management, with a solid track record in a similar client servicing or operational role.
- Strong communication skills, both verbal and written.
- Strong industry knowledge regarding Operations Middle and Back Office functions, including Settlements, Confirmations, Reconciliation,
Client Reporting, Performance, Pricing & Valuation, Corporate Actions, and Client Guideline Management.
- Experience with financial systems such as SWIFT, TLM, Bloomberg, custodian proprietary systems, and Portfolio Accounting Systems (e.g., HiPortfolio, Portia, etc.).
- Competent user of the MS Office suite.
- Strong understanding &/or experience with both manual and automated reconciliations.
- Strong knowledge of Investment Product Classes, including Equity, Fixed Income, Forwards, Derivatives, and Alternatives.
- Strong knowledge of Trading and Investment principles.
- Experience in liaising with brokers, custodians, and fund accountants.
- Flexible approach to a multi-tasking work environment.
- Demonstrates the ability to work with minimal supervision, as well as within a team environment.
- Demonstrates the ability to identify and evaluate potential risks and escalate appropriately.
