Accounts Supervisor
Location: Woodstock Resorts, Madikeri, Coorg, Karnataka
Department: Finance & Accounts
Reports To: Finance Manager / General Manager
Employment Type: Full-Time
Job Purpose The Accounts Supervisor oversees daily financial operations, guest billing, vendor payments, payroll records, and statutory compliance for Woodstock Resorts. This role bridges operational accounting with financial reporting—ensuring books remain balanced, revenues from front desk and F&B; outlets are audited daily, and statutory norms (GST, TDS, PF, ESI) are strictly adhered to.
Key Responsibilities
1. Daily Resort Revenue & Night Audit Verification
Audit daily room sales, front-office collections, restaurant billing (F&B;), and activity charges against property management software (PMS) reports.
Reconcile daily cash, credit card, and online payment gateway settlements against bank deposits.
Verify night audit reports and resolve cash floats or billing discrepancies with department heads.
2. Accounts Payable (AP) & Vendor Management
Verify local supplier invoices (procurement, F&B;, maintenance) against Purchase Orders (POs) and Goods Received Notes (GRNs).
Process vendor payments on time while managing cash flows efficiently.
Maintain vendor ledgers and perform regular statement reconciliations.
3. Accounts Receivable (AR) & Credit Control
Monitor travel agency accounts, corporate bookings, and event billing.
Follow up on pending payments and ensure credit periods remain within company limits.
4. Statutory Compliance & Taxation
Calculate, prepare, and file GST returns (GSTR-1, GSTR-3B) tailored to hospitality service rates.
Compute Tax Deducted at Source (TDS) on contractor, commission, and vendor payments.
Assist HR/Payroll in verifying PF, ESI, and Professional Tax deductions and timely deposits.
5. General Ledger & Month-End Closing
Maintain accurate general ledgers, fixed asset registers, and depreciation schedules.
Perform monthly bank reconciliations (BRS) for all resort operating accounts.
Assist in preparing monthly Profit & Loss (P&L;) statements, balance sheet reconciliations, and variance analysis reports.
Coordinate internal and statutory audits by preparing required schedules and supporting documentation.
6. Petty Cash & Cash Flow Oversight
Manage resort petty cash disbursements with proper vouchers and physical verification.
Monitor operational expense trends and flag budget deviations to leadership.
Key Requirements & Qualifications
Education: Bachelor’s degree in Commerce (B.Com) or Finance. M.Com or semi-qualified CA/CMA is a plus.
Experience: 3 to 5 years of relevant accounting experience, with at least 1–2 years in a supervisory role specifically within the hospitality sector (hotels, resorts, or restaurants).
Technical Skills:
Hands-on proficiency with Hospitality PMS software (e.g., IDS Next, Opera, Zenith, or Hotelogix).
Advanced command of accounting software (Tally Prime / IDS Books) and MS Excel (VLOOKUP, Pivot Tables).
In-depth understanding of Indian GST rules, TDS rates, and hospitality-specific tax structures.
Soft Skills:
High attention to detail and strong numerical aptitude.
Good communication skills in English and Kannada (working knowledge of Hindi or Malayalam is advantageous for team coordination).
Problem-solving mindset and ability to lead a small team of junior accounts staff.
