JOB DESCRIPTION (J.D.) – PERPETUAL INVENTORY MANAGER (PIV Head)

Designation: Assistant Manager / Dy. Manager – Perpetual Inventory

Department: Stores

Reporting To: Store Head

Team Size: 3 Officers (PIV Executives)

Key Roles & Responsibilities

1. Real-Time Inventory Control (PIV System)

Ensure 100% real-time inventory accounting across:

Raw materials (steel, rubber, aggregates)

Bought-out components (engine, axle, tyres, battery)

Work-in-Progress (WIP – chassis, body assembly stages)

Finished Goods (vehicles)

Implement and monitor Perpetual Inventory Verification (PIV) system

Ensure system vs physical stock accuracy > 99%

2. System & Process Management

Ensure all inventory transactions are recorded in SAP/ERP in real-time

Monitor:

GRN (Goods Receipt Note)

Issue to production

WIP movement

FG receipt and dispatch

Define and update SOPs for inventory handling

3. MIS & Reporting

Review and approve reports generated by team:

Daily stock statement

Inventory aging

Slow/non-moving items

Stock variance report

Present MIS to management with actionable insights

4. Inventory Reconciliation & Audit

Lead:

Cycle counting





Monthly/quarterly physical verification

Ensure reconciliation of:

Book stock vs physical stock

Close audit observations within defined timelines

5. Loss Prevention & Cost Optimization

Monitor and control:

Pilferage

Excess consumption

Scrap generation

Identify cost-saving opportunities:

Reduction in dead stock

Inventory carrying cost optimization

6. Compliance & Governance

Ensure compliance with:

Internal audit requirements

SOPs and company policies

Maintain proper documentation for:

Statutory audits

Internal audits

7. Team Leadership

Supervise and guide 3 PIV Officers

Allocate responsibilities and review performance

Train team on:

SAP usage

Inventory best practices

Key KPIs
