The Executive Assistant supports the Director by coordinating with internal departments, tracking projects, managing communications, organizing meetings, and ensuring smooth execution of business priorities. The role acts as a central point of contact between the Director and various teams.
Key Responsibilities
Coordination & Communication
- Serve as the primary liaison between the Director and internal teams.
- Follow up with department heads and team members on action items and deadlines.
- Ensure timely communication of management decisions and updates.
- Coordinate cross-functional activities and resolve routine operational issues.
- Project & Task Management
- Track ongoing projects and prepare status updates for the Director.
- Monitor deliverables, timelines, and team commitments.
- Maintain project trackers, dashboards, and reports.
- Escalate delays, risks, and bottlenecks when required.
Meeting Management
- Schedule meetings, reviews, and internal discussions.
- Prepare agendas, presentations, and meeting materials.
- Record meeting minutes and track action items.
- Follow up to ensure completion of assigned tasks.
Administrative Support
- Manage the Director's calendar and appointments.
- Organize documents, reports, and internal records.
- Prepare MIS reports, summaries, and management presentations.
- Coordinate travel arrangements and logistics when required.
Reporting & Documentation
- Compile data from various departments for management review.
- Generate weekly and monthly performance reports.
- Maintain accurate documentation of processes, projects, and decisions.
