Job Summary
The Accountant is responsible for maintaining accurate financial records, ensuring compliance with statutory regulations, managing day-to-day accounting operations, and supporting the institution's financial planning and reporting. The role requires maintaining confidentiality, accuracy, and adherence to institutional policies and accounting standards.
Key Responsibilities
1. Financial Accounting
- Maintain books of accounts and ensure accurate recording of all financial transactions.
- Prepare journal entries, vouchers, ledgers, and trial balances.
- Perform bank reconciliations on a regular basis.
- Maintain general ledger and subsidiary ledgers.
- Prepare monthly, quarterly, and annual financial statements.
2. Receipts & Payments
- Process receipts, payments, and accounting entries.
- Verify invoices, purchase bills, and supporting documents before processing payments.
- Prepare payment vouchers, cheques, and online payment requests.
- Monitor cash and bank transactions.
3. Payroll & Employee Benefits
- Process monthly salary and wage payments.
- Calculate statutory deductions such as PF, ESI, Professional Tax, Income Tax (TDS), etc.
- Prepare salary statements and payroll reports.
- Coordinate with the HR Department for payroll-related activities.
4. Fee & Student Accounts
- Maintain records of student fee collections and outstanding dues.
- Reconcile fee collections with bank statements.
- Generate fee reports and support admission and academic departments in fee-related matters.

Budgeting & Financial Reporting
- Assist in preparing annual budgets and departmental budgets.
- Monitor budget utilization and prepare variance reports.
- Generate periodic MIS reports for management.
- Prepare financial analysis reports as required.
6. Statutory Compliance
- Ensure timely filing of GST, TDS, PF, ESI, Skilled Tax, and other statutory returns as applicable.
- Maintain statutory registers and compliance records.
- Coordinate with auditors during internal, statutory, and government audits.
- Ensure compliance with Income Tax and other applicable laws.
7. Audit Support
- Prepare schedules and documents required for internal and statutory audits.
- Assist in responding to audit observations.
- Maintain proper documentation for audit purposes.
8. Asset & Inventory Accounting
- Maintain fixed asset register.
- Record additions, disposals, and depreciation of assets.
- Assist in physical verification of assets and inventories.
- Reconcile asset records periodically.
9. Documentation & Record Maintenance
- Maintain accounting records, vouchers, invoices, and supporting documents.
- Ensure proper filing and document management.
- Maintain confidentiality of financial information.
10. Coordination
- Coordinate with banks, auditors, vendors, and government authorities.
- Liaise with internal departments for financial information and documentation.
- Provide financial support during accreditation, inspections, and regulatory reviews.
