The Project Manager Civil & MEP is the single point of accountability for planning, estimating, executing and handing over all civil construction, infrastructure upgrade, repair and oversee MEP (Mechanical, Electrical and Plumbing) works across Srinivasa Farms owned layer breeder farms and Contract Breeder Farms (CBFs). The role combines the technical depth of a civil engineer with working knowledge of MEP services and poultry farm infrastructure requirements.
The incumbent acts as the subject matter expert for all construction and infrastructure matters, prepares Bills of Quantities (BoQs) and cost estimates, evaluates vendors and analyses quotations, prepares comparative statements, supervises execution quality on site, identifies and corrects deviations, and ensures proper handover of completed assets to the user department. He also manages/processes internal approvals and coordinates timely payments to vendors in line with stages of work completion.
Preferred candidate profile
Project Planning & Scope Evaluation
- Conduct site visits to all farms and CBFs to understand infrastructure requirements, assess existing conditions and define the scope of civil or MEP works to be undertaken
- Prepare detailed project scope documents and work briefs for each assignment; present to GM Operations for review and approval before commencement
- Develop project execution plans covering activities, sequence, resource requirements, timeline milestones and dependencies
- Identify and flag any site-specific risk, structural concern or regulatory compliance issue during the scoping visit and recommend mitigation measures
- Maintain a project register for all ongoing and planned works across all farms and CBFs, update and share with GM Operations on a weekly basis
BoQ Preparation & Cost Estimation
- Prepare accurate, item-wise Bills of Quantities (BoQs) for all civil, structural, finishing and MEP works based on site measurements, drawings and approved scope
- Apply current Schedule of Rates (SOR) or market-based rates to prepare detailed cost estimates and flag any item exceeding budget to GM Operations before proceeding
- Revise BoQs and estimates promptly when scope changes, site conditions vary and maintain revision documentation
- Prepare material lists for all required construction materials; coordinate with Procurement Department for sourcing and pricing
- Benchmark estimates against prevailing market rates in Hyderabad for civil construction, MEP services and poultry-specific infrastructure
Vendor Evaluation & Quotation Analysis
- Identify and evaluate prospective vendors/contractors for civil, structural, MEP and finishing works using the company's vendor evaluation checklist and recommend empanelment to GM Operations
- Float enquiries and tender documents (with detailed BoQ and site drawings/sketches)
to minimum three empaneled vendors for all works above the defined threshold value
- Analyze received quotations technically and commercially; check for scope completeness, rate reasonableness, material specifications and deviations from BoQ
- Prepare comparative statements for all multi-vendor quotations: item-wise, total cost, deviations, commercial terms, past performance and recommendation
- Present comparative statement and recommendation to GM Operations
- Negotiate with vendors on rates, terms and timelines as directed; document negotiation outcomes in writing
Construction Supervision & Quality Control
- Conduct periodic scheduled and surprise site visits during execution of all civil and MEP works; minimum visit frequency as defined in the project plan
- Verify that work is being executed strictly as per approved drawings, BoQ, specifications and material standards; give requisite instructions to correct any deviation observed and document it
- Check quality of materials being used on site: verify brand, grade and specifications against approved material list before incorporation into works; reject substandard or unapproved materials immediately
- Monitor workmanship quality: concrete mix and placement, masonry bond and mortar quality, plaster finish, waterproofing application, electrical conduit routing, plumbing pipe joints, equipment alignment and anchoring
- Submit Site Inspection Report with date of visit, observations, instructions issued, deviations noted, corrective actions directed and compliance status
- Photograph all work stages, deviations and corrective actions; attach to site inspection report
Deviation Identification & Corrective Action
- Identify any construction deviation from approved design, specification or BoQ during site visits; document with photographs and measurements
- Issue written corrective instructions to the contractor on site, set a deadline for rectification and re-inspection
- Escalate to GM Operations any deviation that is structural, affects safety or cannot be rectified without rework and obtain directions before proceeding
- Conduct re-inspection after corrective work is completed; confirm compliance or re-issue instruction if deficiency persists
- Ensure no payment is processed for deficient / deviated work until rectification is confirmed in writing
Asset Handover & Takeover
- Prepare a project completion and handover checklist for every completed work; conduct joint inspection with the Farm Manager / User department before handover
- Ensure all snag items identified during joint inspection are fully rectified by the contractor before final handover is recorded
- Obtain sign-off on the handover checklist from the Farm Manager (or CBF owner) and the contractor; file in the project record
- Ensure contractor/vendor hands over all as-built drawings, equipment manuals, warranty documents and test certificates at the time of asset handover
- Coordinate with MEP Team Lead for commissioning and operational verification of all new MEP systems before handover is signed
- Update the farm infrastructure register and equipment master register with current asset details post-handover
Internal Approvals & Payment Coordination
- Track all pending project approvals; follow up systematically with GM Operations to prevent project delays due to approval bottlenecks
- Prepare stage-wise payment schedule based on actual work completed and verified on site, certify only quantities that have been inspected and accepted
- Track contractor/vendor payments against payment schedule, follow up with Accounts Department for timely release of payments to ensure work progress as planned
- Maintain a payment tracker for all projects: invoice date, approved budget, payment due date, payment released date, balance outstanding
- Ensure retention money is held as per contract terms and released only after defect liability period expiry
Subject Matter Expert (SME) Role
- Serve as the in-house technical authority on all civil, structural and MEP matters and provide expert opinion on construction-related queries
- Review designs, drawings and structural layouts proposed by external architects or consultants; provide technical comments and approval recommendations to GM Operations
- Provide technical inputs for Contract Breeder Farm (CBF) onboarding: assess existing infrastructure, identify gaps, prepare upgrade plan and cost estimate
Documentation & Reporting
- Maintain complete project files for every assignment: approval/sanction note, approved BoQ, drawings, work order, correspondence, site inspection records, photographs, measurement book, payment certificates, handover checklist and warranty documents
- Submit weekly project status report to GM Operations every Monday: projects active, milestones achieved, upcoming milestones, delays, issues and actions required
- Prepare and maintain a master project dashboard showing all active and pipeline projects: budget vs actual cost, timeline status, payment status and risks
- Ensure all project documents are filed both physically and digitally; coordinate with Admin Executive for ERP / document management system entries
