We are looking for a detail-oriented Sales Operations Executive / Order Management Specialist to manage the back-office sales process from quotation to encashment, ensuring smooth order execution, timely invoicing, and accurate customer master data management.
The ideal candidate will be responsible for creating quotations, processing and unblocking orders, monitoring delivery timelines, coordinating invoicing, and maintaining order accuracy in SAP, while collaborating with sales, logistics, and customer service teams to ensure operational efficiency.
Key Responsibilities:
Customer Master Data Management
- Review and update customer master data in SAP to ensure accuracy and completeness.
- Correct missing or incorrect customer details including addresses, contact information, and account data.
- Coordinate with sales and customer service teams to collect and validate missing information.
- Monitor recurring data issues and support process improvement initiatives for better automation and data quality.
Order Book Management
- Monitor the order book to identify and resolve blocked orders.
- Coordinate with internal teams such as credit and logistics to unblock orders.
- Ensure delivery deadlines are met and escalate delays proactively.
- Maintain updated order book status and communicate order trends/status to sales teams.
- Close completed or delivered orders in the system for order book hygiene.
Invoicing & Credit Management
- Ensure timely and accurate invoicing of customer orders.
- Process direct orders and generate invoices upon receiving supplier delivery notes.
- Raise credit requests for blocked orders due to credit issues.
- Generate proforma invoices and process return notes for claims/disputes.
Quote Creation & Order Entry
- Create and validate customer quotations in SAP.
- Ensure pricing accuracy as per pricing guidelines and workflow compliance.
- Manually enter customer orders where required with complete details.
- Coordinate with sales teams for clarification on incomplete order requests.
- Generate and share order confirmations with customers.
- Support troubleshooting of failed automated quote processes.
Required Skills:
- Strong understanding of Order Management and Sales Operations workflows
- Experience in SAP / ERP systems
- Good working knowledge of MS Excel
- Knowledge of Invoicing and Credit Management
- Strong attention to detail and accuracy
- Good communication skills in English
- Ability to work under pressure and manage multiple priorities
- Customer-focused mindset with solid stakeholder management skills
- Exposure to GenAI tools for improving operational efficiency is preferred
