- Monitor and control the inventory of liquor, beer, wine, mixers, syrups, garnishes, glassware, and bar consumables.
- Verify all inward and outward stock movements between the godown and event locations.
- Approve beverage, garnish, syrup, and bar consumable challans before dispatch.
- Ensure all bar stock issued for events is properly recorded and reconciled after the event.
- Verify the return of leftover liquor, mixers, syrups, garnishes, bar tools, and equipment to the godown.
- Ensure all empty syrup bottles (with caps) and alcohol bottle caps are returned and recorded as per company SOP.
- Conduct daily, weekly, and monthly physical stock audits and reconcile them with inventory records.
- Investigate stock shortages, breakages, spillages, and variances, and submit reports to management.
- Monitor beverage consumption at events and compare actual usage against the approved beverage plan.
- Ensure proper FIFO (First In, First Out) stock rotation and monitor expiry dates of mixers, syrups, garnishes, and other perishables.
- Perform random quality checks on liquor, mixers, syrups, ice, and garnishes before dispatch to ensure freshness and quality.
- Verify that bar kits are complete and dispatched with all required tools, equipment, and consumables.
- Maintain accurate inventory records, stock registers,
and event-wise stock reconciliation reports.
- Prepare daily, weekly, and monthly MIS reports on inventory, beverage cost, stock variance, and wastage.
- Coordinate with the Purchase Manager to maintain optimum stock levels and avoid shortages.
- Coordinate with the Godown Incharge, Operations Manager, Senior Mixologist, and Event Supervisors to ensure smooth event execution.
- Ensure compliance with company SOPs related to inventory handling, storage, hygiene, and documentation.
- Identify opportunities to reduce beverage costs and wastage without affecting service quality.
- Monitor vendor deliveries and verify the quantity and quality of all purchased items.
- Report any stock pilferage, unauthorized consumption, or inventory discrepancies immediately to the Operations Head or Management.
- Support management during internal audits by providing accurate inventory records and reconciliation reports.
- Train operational staff on proper stock handling, storage, inventory documentation, and return procedures.
- Ensure all event stock reconciliation and closing reports are completed within 24 hours of event completion.Role & responsibilities
