Primary Responsibilities And Duties
Tasks shall include but not be limited to:
- Following up on/Sending the vessels Fleet flash/ Alert related to bunker or any technical circulars from third party/ makers of equipment
Documentation & Routine tasks like:
- Creating pending defect order with job cause Lube oil analysis for the Lube oil Alerts items in the reports as required
- Extracting the data for monthly Lube oil consumption for each vessel for vessel KPI monitoring / lube oil report to Accounting team
- Extracting the Main Engine monthly performance data for vessel KPI
- Extracting the monthly overdue PM Job of last month on 5th of every month for collecting data for vessel KPI
- Following up with vessels for overdue monthly PM job by extracting the report from PMS every third week of month and send reminder to the vessel
- Maintaining records and forwarding the LO & Bunker analysis report to the vessel
- Sending monthly log sheets (ICCP, MGPS, Boiler waterlogs, Cooling waterlogs to respective maker for analysis)
- Assisting Superintendent in Monitoring of Maintenance, operational performance
- Assist in take over and hand over of vessels
- Keep Q88, HVPQ and Officers matrix up to date
- Assist MS in submitting various oil major questionnaires
- Assist in correspondence with flag / class and related documentation
- Assist in registration of vessels for HRA transit
- Create inspection/audit reports in PMS
- Monitor and alert Superintendent on due dates of CAR’s and WO’s
- Participate in Ship/Shore drills
- Compile data for ongoing Navigation/Safety campaigns
- Monitor rest hour records from the vessel and alert MS for any NC’s
- Assist vessels in organizing documentation for inspections and port calls
- Assist Superintendent in scheduling audits/inspections
- Update PMS and other company software’s for audit/inspection/ shore visits
- Supply company stationary on board
- Initiate and document unannounced Shore DA test
- Initiate with the vessel’s monthly alcohol test
- Track monthly HSE / Shipboard Management Meetings / Drills / Master Navigation Audit
- Update monthly fleet meeting report
- Submit quarterly declarations for US voyages to Insurance department
- Track due dates of surveys, services and certificate renewals and inform Technical Superintendent
- Any other tasks allocated by the Marine Superintendent and Technical Superintendent
Experience
- Minimum 1 year in similar Job profile
- or 6 months experience as Junior
- or 18 months experience as Deck or Engine Cadet
Competencies
The Fleet Administrative Officer is accountable for the following:
- Upkeep of vessel related certification & documentation
- Accuracy of data updated for vessel KPIs
