Executive Assistant to Founder / Director (Full-time) — Delhi NCR

We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to the Founder & Director who will serve as a trusted partner in managing executive priorities, communications, and execution follow-through. This role requires strong administrative expertise, exceptional coordination skills, and the ability to operate independently in a fast-paced setting.
Advanced Excel proficiency is mandatory, and experience supporting project coordination or leadership execution is a strong advantage.
Key Responsibilities
1. Executive Calendar & Scheduling Management
- Manage the Founder/Director’s calendar, daily schedule, meetings, and priorities.
- Coordinate internal and external meetings, ensuring seamless planning and logistics.
- Send timely reminders and ensure the executive is fully prepared for all engagements.
2. Communication & Stakeholder Coordination
- Act as the primary communication bridge between the Founder/Director and internal and external stakeholders.
- Draft, manage, and follow up on professional emails and communications.
- Coordinate with clients, vendors, partners, and internal teams.
3. Meeting Support & Documentation
- Attend key meetings and prepare clear and structured Minutes of Meeting (MoM).
- Track action items, responsible owners, and deadlines.
- Ensure consistent follow-ups and closure of assigned tasks.
4. Administrative & Execution Support
- Provide high-level administrative and day-to-day executive support.
- Assist with execution of leadership-assigned initiatives and priorities.
- Maintain organized records, notes, and documentation.
5. Excel & Data Management (Critical Requirement)
- Prepare and manage MIS reports, dashboards, trackers, and operational summaries.
- Maintain structured reporting for leadership priorities and business operations.
- Support data analysis, budgeting, vendor comparisons, and business tracking using Excel.
6. Project Coordination & Task Management
- Track ongoing projects and cross-functional deliverables.
- Maintain timelines, checklists, and execution trackers.
- Support workflow and task management using relevant tools.
7. Travel & Engagement Planning
- Coordinate travel bookings, itineraries, and meeting logistics.
- Support planning and execution of leadership events and external engagements.
8. Automation & Productivity Enablement
- Help automate routine workflows, reminders, and reporting.
- Improve efficiency through templates, systems, and digital productivity tools.
Required Qualifications & Skills
- 2–5 years of experience as an Executive Assistant, Director’s Assistant, or in a Founder’s Office role.
- Strong experience in executive calendar management and stakeholder coordination.
- Advanced Excel (mandatory): Pivot Tables, VLOOKUP/XLOOKUP, dashboards, trackers.
- Proficiency in Microsoft Office and/or Google Workspace.
- Excellent written and verbal communication skills.
- High ownership, attention to detail, and ability to multitask effectively.
- Professional maturity with the ability to handle confidential information.
- Strong coordination, follow-up, and execution discipline.
