Department Overview - Corporate and Investment Banking (CIB) Securities Shared Services Operations is a cross-functional group of teams that provide support for CIB-Markets and the broader Wells Fargo organization. Shared Services are the owners and stewards of both client and reference data with a focus on operational excellence and superior client service. From Reference Data Services perspective, the Client Data team creates Client Accounts as part of Client On-Boarding process and provides support in Account Data Maintenance as well which includes Data Integrity and Account Documentation. The Main areas of interaction is with all departments within Capital Market Sales, Compliance, and Settlement Ops, Account control Ops, AML/KYC, Middle Office and Credit.
About the Role - The Operations Shared Services team is a cross-functional team that provide support for Reference Data and aims to be the owners and stewards of both client and reference data with a focus on operational excellence and superior client servicing. This is a senior management position within Client Data team with direct oversight for Documentation across business products and functions. This individual will lead the front to back of CIB Tax Operations inclusive of Tax Form Validations, With-Holding, Reporting, Change in Circumstances and Cost Basis activities. Acting as a lead for all escalations, operations, business and regulatory initiatives this leader will face-off to global business, operations, compliance, and legal counterparts to ensure effective transparency and partnership. This person will also be responsible for adherence to regulatory rules and implementation across the team.
Responsibilities:
. Handling tax documentation, withholding and reporting inquiries raised by business partners
. Daily TEFRA, NRA and FATCA withholding reconciliation and remittance
. Research and resolution of reporting and withholding exceptions
. 1099 and 1042-S reporting tasks such as mock form reviews, management of trial runs and processing of tax reporting adjustments
. Cost Basis reconciliation and resolution
Additional responsibilities include:
. Identifying and formulating procedural changes which will enhance operational efficiency and data integrity
. Providing leadership on issues raised by the areas we support while communicating ways to improve data quality and client service
.
Partnering with upstream processing teams such as corporate actions and middle office to identify the root cause of issues and mitigate operational risk
2+ years of experience in Tax Operations with a basic understanding of:
. Chapter 3 (NRA), Chapter 4 (FATCA), and Chapter 61 (TEFRA) withholding and reporting requirements
. Preparation of Forms 1099 and 1042-S
. Validation of IRS Forms W-9, W-8IMY, W-8BEN-E, and W-8ECI
. Technical tax withholding and reporting compliance (1099 INT, 1099 MISC, 1099-B, 1042-S, IMY Reporting to Beneficiary Owners)
. Cost Basis reporting
. International Tax, including relief at source
. Project management skills with a focus on process improvement and change management experience with UAT testing and vendor management
Core Operations Management:
- Manage multiple teams to ensure successful service delivery to various stakeholders
- To ensure that BAU is processed as per SLAs
- Manage E2E Service Delivery and drive Quality as a differentiating factor with regards to Process Excellence
- Proactive in identifying process and knowledge gaps, and effectively manage escalations
- Work closely with Delivery teams on TAT Management, Process Improvements, Reg. Compliance, Audits- Process/Transactional Level and adherence to SLAs
- People Leadership Attract, retain and develop top talent, including attrition management.
- Ensure strong focus on short and long term objectives, training, succession planning, career development, and managing career opportunities.
- Interact with the team on daily basis, conduct weekly 1-on-1 meetings.
- Manage training needs (soft skills, process and business) of the team, along with ensuring completion of the mandatory training programs.
- Performance management, conduct appraisals, complete action plans for people development
- Ensure Learning Initiatives, Adherence to discipline, punctuality and compliance by the team
Global stakeholder management:
- Maintain a harmonious relationship with global stakeholders, effectively syndicating on relevant issues, influencing to arrive at the right decisions
- Interact and communicate with the business partners / requestors on regular basis to help them manage their expectations
- Institute sturdy communication channels with business partners to manage escalations and take proactive steps to avoid any form of escalations
Risk & Controls Mindset:
- Ensure operational practices are in compliance with relevant risk standards, policies and regulations to maintain an effective control environment
- Responsible for Business Continuity, Breaches/Incidents and Quality Assurance
- Ensure BCP strategy is in place for the team
- Test business resiliency for effectiveness
- Identify and improve existing controls, where required
- Ensure that the team has effective Quality Check process in place
- Immediately escalate incidents and follow through with appropriate documentation, reporting and implementation of corrective actions.
Delivery of Strategic Programs:
- Support and manage the delivery of Firm's strategic programs in a high quality, cost effective, timely and sustainable manner with risks and issues identified, prioritized, escalated and managed in a timely and open fashion.
- This includes effective resource management (project / people / technology), and all budgetary and economic elements of delivery
Change Leadership:
- Lead change initiatives across the function and in close partnership with the global stakeholders
- Identify opportunities for increasing operational efficiencies, reducing risk, improving controls,
introducing straight through processing and automation
- Measures effectiveness and efficiency of the Operational processes and should be able to drive technological interventions to build scale and efficiency
- Assist in projects on data interfaces between systems such as defining project scope, data requirements and resources
- Participate in special projects revolving around data cleanups, process improvement analysis and reporting
- Partner with Technology and the lines of business, to deep-dive and identify potential opportunities and drive towards executable solutions, improving controls and delivering cost saves
- Identify the need and scope of automation in various processes and work closely with the IT team
Essential Qualifications & Skills required :
- MBA or an advanced degree (or equivalent exp.)
- 12+ years in Operations , including client documentation with a top-tier bank, including 7 years in a supervisory role and motivating and leading large teams
- Strong organizational and project management skills with demonstrated ability to manage expectations and deliver on commitments
- High degree of flexibility, prepared to work in a deadline-driven and fast-paced environment
- Structured and Disciplined in approach, with strong execution focus and strong organization skills
- Experience working with senior leaders straddling across Technology, Operations and Strategy, working on workflow tools eg: PEGA is a plus
- Proactive control and risk management, addressing gaps in processes and escalating issues to benefit the business and clients in a dynamic environment
- Robust interpersonal and influencing skills, with the ability to establish credibility and strong partnership with business partners and other support functions
