Job Summary:
We are seeking a energetic and detail-oriented Administrative & Dispatch Executive to manage the day-to-day administrative tasks, assist with dispatch planning, handle invoicing, ensure statutory compliance, and maintain communication with logistics and transport partners. The ideal candidate will possess a strong understanding of GST, statutory compliance, import documentation, and inventory management. Additionally, the candidate should be flexible and willing to take on tasks as assigned by the management.
Key Responsibilities:
1. 1.Managing Day-to-Day Administrative Tasks:
- Oversee daily administrative activities, ensuring smooth workflow within the office. (Handling daily mail Correspondence and Data entry)
- Organize and maintain physical and digital filing systems.
2. Planning of Dispatch:
- Coordinate dispatch planning to ensure timely and accurate deliveries.
- Liaise with internal teams to optimize dispatch schedules and resolve any issues.
3. Generating Invoice & E-Way Bill:
- Prepare and issue invoices accurately.
- Generate and ensure compliance of e-way bills for transportation as per GST requirements.
4. GST Knowledge & Statutory Compliance:
- Ensure compliance with GST regulations for invoicing, payments, and returns.
5. Communication with Transport and Logistics Partners:
- Establish and maintain effective communication with transport and logistics partners.
- Track shipments, resolve any transport-related issues, and ensure timely deliveries.
6. Handle Correspondence & Maintain Communication Channels:
- Manage and respond to internal and external correspondence in a timely manner.
- Maintain communication channels between departments, clients, and vendors.
7. Handle EBRC Compliance:
- Ensure timely submission and compliance with Bank for EBRC regulations and documentation.
8. Knowledge of Import Documentation:
- Understand and manage the documentation process for import shipments.
- Assist with customs clearance, permits, and other necessary import-related tasks.
9. Production Entry:
- Record and track production activities.
- Ensure accurate data entry for inventory and production logs.
10. Maintaining Inventory Levels:
- Monitor and maintain adequate inventory levels to meet production and dispatch requirements.
- Coordinate with the procurement team for re-ordering of supplies when necessary.
11. Other Duties: Perform any additional tasks or responsibilities as directed by the management.
Skills & Qualifications:
- Proven experience in administrative roles, preferably in logistics, dispatch, or operations.
- In-depth knowledge of GST, statutory compliance, and e-way bill processes.
- Strong understanding of import documentation and inventory management.
- Proficient in MS Office Suite and basic accounting software.
- Excellent communication skills and ability to work with various teams.
- Strong organizational skills and ability to multitask.
- Attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- Flexibility to take on new tasks as required by management.
Education & Experience:
- Bachelors degree in Commerce, Business Administration, or a related field.
- Minimum [3] years of experience in an administrative or operations role.
- Knowledge of supply chain processes, logistics, and statutory compliance.
