Position : Project Coordinator / Field & Logistics Coordinator
Location : Kariba, Zambia (with travel along the Zambezi River up to Luangwa)
Project : Emergency Warning System (EWS) Installation Project
Employment Type : Fixed-Term Contract (Project Duration)
About the Project
The project involves the implementation of a state-of-the-art Emergency Warning
System (EWS) comprising outdoor warning sirens, hydrological sensors,
communication infrastructure, and control systems across multiple locations from
Kariba Dam to Luangwa along the Zambezi River. The project requires extensive
coordination with local authorities, communities, logistics providers, customs
agencies, Emigrations and field teams.
Position Summary
We are seeking two experienced and motivated Zambian nationals to support project
execution by coordinating local activities, facilitating government and community
engagement, managing logistics, customs clearance, transportation, accommodation,
and providing administrative support to the international project team.
The selected candidates will play a critical role in ensuring smooth execution of site
surveys, equipment mobilization, installation, testing, and commissioning activities.
Key Responsibilities
Project Coordination
Coordinate day-to-day project activities with project management.
Liaise with local government authorities, district administrations, and regulatory
agencies.
Coordinate with the Zambezi River Authority and other stakeholders whenever
required.
Arrange permits, access permissions, and local approvals for field activities.
Support site surveys and installation planning.
Logistics & Transportation
Arrange transportation of personnel, equipment, and materials.
Coordinate vehicle hiring and driver scheduling.
Manage movement of equipment between project sites.
Coordinate accommodation and local travel for project staff.




Arrange local procurement whenever required.
Customs & Import Facilitation
Coordinate customs clearance for imported equipment.
Liaise with freight forwarders, customs agents, and clearing agencies.
Track shipment arrivals and documentation.
Ensure timely delivery of equipment to project sites.
Community & Stakeholder Engagement (With help of ZRA Team)
Coordinate with village leaders and local communities.
Facilitate access to installation locations.

Resolve local coordination issues.
Support awareness meetings whenever required.
Site Support
Coordinate installation schedules with local teams.
Ensure site readiness before mobilization.
Assist engineering teams during installation and commissioning.
Arrange lifting equipment, boats, cranes, or local contractors as needed.
Administrative Support
Maintain project records and documentation.
Prepare daily and weekly progress reports.
Track logistics and equipment inventory.
Support procurement documentation.
Assist with vendor coordination.
Health, Safety & Compliance
Ensure compliance with local regulations.
Coordinate safety inductions where required.
Report field incidents and operational challenges.
Promote safe work practices.
Required Qualifications
Diploma or Bachelor's Degree in Engineering, Business Administration,
Logistics, Supply Chain Management, Project Management, or a related field.
Zambian National.
Valid driving licence.
Willingness to travel extensively across Zambia / Zimbabwe.




Experience - Minimum 3–5 years of experience in:
Project coordination
Logistics
Infrastructure projects
Construction
Electrical or communication projects
Mining, power, or hydropower projects (preferred)
Experience with donor-funded or international infrastructure projects will be an
added advantage.
Required Skills
Excellent communication skills.
Solid organizational abilities.
Knowledge of Zambian customs clearance procedures.
Familiarity with transport and logistics management.
Ability to coordinate multiple stakeholders.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Strong problem-solving and interpersonal skills.
Ability to work independently under tight schedules.
Preferred Experience

Experience in one or more of the following will be advantageous:
Hydropower / DAM projects
Disaster Management Systems
Emergency Warning Systems
SCADA or telemetry systems
Telecommunications
River monitoring systems
Government infrastructure projects
Reporting To
Project Manager / Resident Project Manager
Key Performance Indicators (KPIs)
Timely customs clearance of imported equipment.
Successful coordination of logistics without project delays.
Timely mobilization of resources to project sites.
Effective coordination with government authorities and local communities.
Timely submission of project reports.
Efficient management of transportation, accommodation, and local
procurement.
Zero logistics-related delays attributable to coordination.
Work Environment
Field-based position requiring frequent travel.
Visits to remote project sites.
Interaction with government agencies, customs officials, local communities,
contractors, and project engineers.
Occasional work outside normal office hours during project mobilization and
commissioning.
