Qualification & Experience

- Bachelors degree in Supply Chain Management, Logistics, International Trade, Commerce, Engineering, or related field.
- MBA / PGDM in Supply Chain, Operations, or International Business will be an added advantage.
- 2 - 6 years of experience in EXIM operations, project logistics, shipment coordination, MWS coordination, freight forwarding, CHA operations, shipping, or industrial logistics.
- Experience in manufacturing, EPC, infrastructure, renewable energy, heavy engineering, project cargo, or large-scale industrial logistics will be preferred.
- Working knowledge of EXIM documentation, shipping processes, customs coordination, containerized cargo, breakbulk, ODC, and heavy-lift cargo movement is preferred.

Required Skills

- Strong coordination and follow-up skills.
- Good understanding of EXIM shipment execution and documentation.
- Working knowledge of MWS process, loading survey, cargo inspection, lashing, securing, and project cargo handling.
- Proficiency in MS Excel, trackers, and MIS reporting.
- Ability to manage multiple shipments and stakeholders simultaneously.
- Robust attention to detail and documentation discipline.

Position Summary:

- The Executive / Senior Executive EXIM & MWS Coordination will be responsible for supporting EXIM shipment execution and Marine Warranty Survey coordination for high-value, project-critical cargo under the Solar / New Energy business.
- The role will coordinate with internal EXIM teams, suppliers, freight forwarders, shipping lines, CHA, CFS, transporters, MWS agencies, packaging inspectors, port teams, and project stakeholders to ensure smooth movement of import/export cargo from origin readiness to India delivery.
- The position requires strong follow-up discipline, EXIM documentation knowledge,



shipment tracking capability, and the ability to coordinate inspection / survey activities for containerized, breakbulk, ODC, heavy-lift, and project cargo movements.

Key Responsibilities:

1. EXIM Shipment Coordination

- Support end-to-end coordination for import and export shipments across sea, air, road, rail, and multimodal movements.
- Track shipment milestones including supplier readiness, FOB date, booking confirmation, SI / VGM submission, ETD, transshipment, ETA, customs clearance, DO release, CFS movement, and plant delivery.
- Follow up for container planning, vessel space confirmation, booking release, cargo handover, and shipment execution.

- Maintain shipment trackers and highlight delays, rollovers, documentation gaps, and operational risks to GM EXIM.

2. MWS Coordination:

- Coordinate Marine Warranty Survey activities for critical, heavy-lift, breakbulk, ODC, and project cargo shipments.
- Arrange MWS inspection at supplier factory, loading point, port, vessel, CFS, warehouse, or project site as required.
- Coordinate with MWS agency, supplier, forwarder, shipping line, transporter, and packaging inspector for timely survey planning.
- Ensure survey readiness before cargo movement, including packing status, lifting arrangement, lashing plan, stowage plan, route plan, and cargo handling methodology.
- Track MWS observations, recommendations, hold points, and compliance closure before shipment release.
- Ensure MWS approval / certificate is received before loading, sailing, or movement wherever applicable.

3. EXIM Documentation Support:

- Coordinate collection and validation of key EXIM documents such as commercial invoice, packing list, BL, AWB, LR, certificate of origin, insurance certificate, BOE, shipping bill, DO, and delivery documents.
- Support timely submission of SI, VGM, BL draft checking, BL release, telex release, and other shipping documentation.
- Follow up with suppliers, forwarders, CHA, and internal teams for missing or corrected documents.
- Maintain proper shipment-wise documentation records for audit and operational reference.
- Support documentation requirements for DIT/ATM, transshipment, BL switch,



and hub-based movements.

4. Packaging, Loading & Survey Readiness:

- Track packaging completion status, inspection observations, photographs, packing certificates, and standards and shipment requirements.

- Ensure cargo is ready for safe handling, lifting, stuffing, lashing, securing, and transportation.
- Coordinate loading / unloading surveys, cargo condition checks, and damage reporting wherever required.
- Escalate non-compliance related to packaging, cargo readiness, lifting arrangement, lashing, or safety requirements.

5. Vendor & Stakeholder Coordination:

- Act as a coordination point between EXIM, SCM operations, project teams, suppliers, forwarders, CHA, CFS, transporters, MWS agencies, and shipping partners.
- Conduct regular follow-ups to ensure timely closure of shipment and survey-related actions.
- Track vendor commitments on booking, inspection, survey, documentation, cargo pickup, customs clearance, and delivery.
- Escalate critical delays, repeated non-compliance, and high-risk shipments to GM EXIM.
- Support coordination during urgent shipments, vessel cut-offs, port congestion, rollovers, and route changes.

6. MIS, Tracking & Reporting:

- Maintain daily / weekly trackers for EXIM shipments, MWS status, inspection status, documentation status, and pending actions.
- Prepare MIS covering shipment readiness, booking status, ETD / ETA, MWS completion, open observations, and escalation items.
- Highlight shipment risks such as cargo not ready, MWS pending, vessel space not confirmed, document delay, customs hold, DO expiry, demurrage / detention exposure, and delivery delays.
- Support management reporting for critical shipments and project cargo movements.
- Maintain ageing reports for pending MWS approvals, documentation gaps, and shipment bottlenecks.

7. Compliance, Risk & Audit Support:

- Ensure EXIM and MWS coordination is aligned with internal SCM policies, contract terms, safety requirements, and statutory requirements.
- Maintain proper audit trail for shipment approvals, MWS certificates, inspection reports, loading reports, and logistics documents.
- Support audit queries related to EXIM execution, MWS compliance, shipment documentation, and vendor performance.
- Identify operational risks in shipment handling, survey clearance, route execution, and cargo safety.
- Support corrective action closure for survey observations, damage cases, and process deviations.
