Job Title: Costing & Service – Back Office Executive

Location: MIDC Andheri (E), Mumbai.

Terms: Full time

About the Role:

To provide end-to-end back-office support for the Service Department by preparing quotations, processing customer orders, coordinating with internal departments, maintaining service records, and ensuring timely execution of service-related activities from quotation to invoicing, including AMC (Annual Maintenance Contract) management.

Responsibilities:

· Prepare quotations for machines, spare parts, and services.

· Coordinate with different departments for costing, approvals, and order processing.

· Handle the complete process from quotation to invoice.

· Prepare invoices and coordinate with the Accounts team for billing.

· Manage AMC (Annual Maintenance Contract) records, renewals, and invoices.

· Communicate with customers regarding quotations, orders, service schedules, and spare parts.

· Coordinate with Service Engineers and other departments to ensure timely service.

· Maintain records of quotations, invoices, AMC details,



and customer information.

· Update service reports and maintain proper documentation.

· Follow up with customers and internal teams to ensure work is completed on time.

Valuable to Have:

· Strong communication and customer coordination skills.

· Knowledge of quotation preparation, order processing, and invoicing.

· Experience in AMC management and service documentation is preferred.

· Valuable knowledge of MS Excel, MS Word, and ERP systems.

· Ability to manage multiple tasks and meet deadlines.

· Strong organizational and documentation skills.

· Attention to detail and accuracy.

Candidate Requirements:
Graduate in Commerce, Business Administration, Engineering, or any relevant discipline.
2–5 years of experience in Back Office, Customer Service Coordination, Service Support, or Sales Coordination in a manufacturing or engineering company.
