Job Summary
The Purchase Order Executive is responsible for creating, processing, tracking, and managing purchase orders for raw materials, trims, packaging materials, accessories, and indirect procurement requirements. The role ensures timely procurement while maintaining accuracy in SAP S/4HANA, coordinating with vendors and internal departments, and ensuring compliance with company procurement policies.
Key Responsibilities

- Create, review, and process Purchase Orders (POs) in SAP S/4HANA based on approved Purchase Requisitions.
- Verify purchase requisitions for completeness, approvals, specifications, pricing, and delivery schedules.
- Coordinate with vendors to confirm purchase orders, delivery timelines, and order acknowledgements.
- Monitor open purchase orders and follow up with suppliers to ensure on-time delivery.
- Track order status and proactively resolve delays, shortages, or discrepancies.
- Coordinate with merchandising, production planning, warehouse, finance, and quality teams to ensure uninterrupted material availability.
- Update delivery schedules and maintain accurate procurement records in SAP S/4HANA.
- Ensure purchase orders comply with company policies, budgets, and approval matrices.
- Work closely with the Goods Receipt (GRN) team to resolve quantity and invoice discrepancies.
- Support invoice verification by coordinating with the Finance department for timely vendor payments.
- Maintain vendor master data and purchasing information records in SAP S/4HANA.
- Generate procurement reports, open PO reports, vendor delivery performance reports, and MIS reports.
- Assist in vendor performance evaluation based on delivery, quality, pricing, and responsiveness.
- Ensure procurement documentation is complete and audit-ready.




- Support cost-saving initiatives through efficient procurement planning and process improvements.

SAP S/4HANA Responsibilities

- Create and maintain Purchase Orders using SAP S/4HANA (Materials Management - MM module).
- Process Purchase Requisitions (PR) into Purchase Orders (PO).
- Monitor PO lifecycle from creation to Goods Receipt (GR) and Invoice Verification (IV).
- Maintain vendor master data and purchasing information records.
- Generate procurement reports and dashboards using SAP.
- Resolve SAP transaction errors and coordinate with the ERP support team where required.
- Ensure accurate system data and compliance with internal controls.

Required Qualifications

- Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, Textile Technology, Fashion Technology, or a related discipline.
- Diploma or certification in Supply Chain Management or SAP MM is an added advantage.

Experience

- 2 to 5 years of experience in Purchase Order Processing or Procurement.
- Experience in the Fashion, Apparel, Textile, Garment, Retail, or Manufacturing industry is preferred.
- Hands-on experience working with SAP S/4HANA (MM Module) is essential.

Technical Skills

- Proficiency in SAP S/4HANA Materials Management (MM).
- Good knowledge of Purchase Requisition (PR), Purchase Order (PO), Goods Receipt (GR), and Invoice Verification (IV) processes.
- Solid working knowledge of Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Tables, Charts, Data Validation, and basic formulas).
- Familiarity with ERP-based procurement processes and documentation.
- Understanding of GST-related procurement documentation is desirable.
