Role Overview
The Operations Coordinator will be responsible for handling day-to-day order operations, ensuring smooth coordination between design, production, and dispatch teams.
This role is ideal for someone who is organized, detail-oriented, and willing to learn fast in a process-driven setting.
Key Responsibilities
Order Processing
- Manage incoming orders from Shopify & Etsy
- Verify order details (size, customization, address)
- Coordinate with design team for artwork readiness
Production Coordination
- Share accurate specifications with production team
- Track order progress from design to print
- Ensure minimal errors in paneling and sizing
Dispatch & Logistics
- Coordinate shipments with courier partners (DHL, etc.)
- Ensure timely dispatch of samples and final orders
- Track deliveries and update status
Data Management
- Maintain daily order tracking sheet
- Update order status (Pending / In Process / Dispatched / Delivered)
- Share daily updates with reporting manager
Issue Handling
- Identify delays, errors, or mismatches
- Coordinate internally for quick resolution
- Ensure customer commitments are met
Skills Required
- Basic knowledge of Excel / Google Sheets
- Good attention to detail
- Ability to follow processes
- Basic communication skills
- Willingness to learn and take responsibility
Preferred (Not Mandatory)
- Experience in operations / coordination
- Exposure to e-commerce or logistics
- Familiarity with Shopify / Etsy
